Organizations, Teams, and Sharing

Checklist keeps personal and shared work in organizations and teams. The team you select determines which work you see.

Organization

An organization is the overall workspace. It holds teams and has its own plan and billing settings.

You might use one organization for your personal lists and another for your business.

Team

A team holds a group of checklists, templates, and people. For example, a shop might have a team for daily operations.

Switch teams using the selector at the top of the web app's left menu.

If you cannot find a checklist, first check that you've selected the right team.

Members, guests, and roles

People can have different levels of access.

In the web app, team roles include Admin, Editor, and Runner. Administrators manage the team. Editors prepare work. Runners can carry out work they're allowed to access.

Guests have more limited access and are usually invited to particular checklists rather than the whole team's work.

The exact actions available depend on the plan, role, and checklist settings.

Team membership and checklist access are different

Being part of a team doesn't mean you can open every checklist.

The checklist owner can decide who may view it, edit it, or work on assigned tasks. This matters when you share sensitive work or invite people from outside your team.

For example, a new employee might belong to the Operations team but only need access to their own onboarding checklist.
