Revenue Management SOP for the Hotel industry

Use this Hotel Rate Parity Checklist to train staff, test knowledge, run daily operations, and improve service consistency.

Checklist Framework: Define → Train → Test → Do → Manage

DEFINE MODE

Turn your Hotel Rate Parity Checklist into a clear, step-by-step checklist anyone on your Revenue Management team can follow. This becomes your single source of truth across training, daily operations, and management. Start by using this ready-made SOP and roll it out immediately, then customize or refine it as you go.

Procedure

You can customize each step, add notes, set required fields, and define data capture requirements.
Record property, stay dates, room type, guest count, currency and channels. Identify the approved public or eligible-member offer you expect to compare.
Search the hotel's booking engine and record the available room, rate plan and total. Include the time, device or relevant market setting and whether you are logged in or using a promotion.
Use the same dates, length of stay and adult/child occupancy. Check that the room description, bedding and included occupancy are genuinely equivalent rather than relying only on a similar name.
Check currency, taxes, mandatory fees and whether the displayed amount is per night or for the whole stay. Retain both the displayed total and its stated basis; do not silently compare converted estimates with exact prices.
Review meals, extras, cancellation deadlines, refundability and payment timing. Note differences before deciding that a lower price represents the same product.
Check visible mobile, member, package or other eligible offers. Record any conditions you can verify; do not invent a discount explanation when the source is unknown.
Record the URL or channel reference, timestamp, search inputs, totals and relevant conditions. Use permitted screenshots without guest or payment details. Recheck if prices changed during the comparison.
Separate equivalent-offer mismatch, explained product or promotion difference, availability mismatch and not reproducible. Record what remains unknown.
Send evidence to the distribution or revenue owner. Check mapping, update state and authorized promotions as appropriate; have contractual or policy questions reviewed by the authorized specialist.
Repeat the same comparison after any authorized correction. Record the observed result or remaining uncertainty, owner and next check. Do not lower the direct rate automatically to match an unexplained offer.

Introduction

A hotel rate parity check compares the hotel's own offers with distribution-channel offers on equivalent terms. Use this checklist to capture a suspected mismatch, confirm whether the room and conditions really match, and track an authorized correction or explanation. It does not assume every channel must display the same price.

Compare the offer, not just the headline rate

The same hotel and night do not guarantee the same product. Match room type, guest count, length of stay, currency, included meals, payment timing and cancellation conditions. Compare the total payable price on the same tax and fee basis, and note whether a mobile, member or package offer is involved. A cheaper nonrefundable rate is not automatically a mismatch with a flexible direct rate.

Preserve the conditions of the check

Record when, where and how the offer was found, including login state or an applied promotion. Prices and availability can change between searches. If a difference cannot be reproduced, keep the original evidence and report it as unconfirmed rather than declaring it fixed.

Resolve the cause within your authority

An unexpected difference may come from mapping, a delayed update, promotion settings or distribution further down the supply chain. Route the evidence to the responsible owner before changing a price. Contract terms and local rules differ; this checklist is an operational comparison, not legal advice or a statement that universal rate-parity obligations apply.

Use this checklist

Save a Checklist for one comparison or a Template for recurring checks. Customize the channels and test stays to the property's distribution plan. Download PDF, Excel or Word from the available download options.

Hotel Rate Parity Checklist Frequently Asked Questions

Does rate parity mean every displayed rate must be identical?

Not necessarily. Different room products, eligibility, inclusions and booking conditions can produce legitimate differences. Contractual requirements and local rules also vary. First establish whether the offers are equivalent.

Should taxes and fees be included in the comparison?

Compare the total payable price on a consistent basis and record how each site displays it. A pre-tax nightly price and a tax-inclusive stay total are not directly comparable.

What if a cheaper offer appears only on mobile or after login?

Record that context and the offer's eligibility. Compare like-for-like conditions before deciding whether it is an unexpected mismatch. Do not assume the public desktop search tells the whole story.

What if the difference disappears when checked again?

Keep the original evidence and mark the result as not reproducible unless an authorized correction is confirmed. A changing price is not proof that the underlying cause has been resolved.
