DEFINE MODE

Turn your Hotel Income Audit Checklist and SOP into a clear, step-by-step checklist anyone on your Finance team can follow. This becomes your single source of truth across training, daily operations, and management. Start by using this ready-made SOP and roll it out immediately, then customize or refine it as you go.

Procedure

You can customize each step, add notes, set required fields, and define data capture requirements.
Record the business date and report cutoff. Confirm the night-audit status and which financial review stage remains open.
Obtain the relevant PMS, outlet, cashier and settlement reports plus the night-audit exception log. Check that each report covers the intended period and is the latest approved version.
Look for missing outlet batches, failed interfaces, duplicate imports and reports generated before processing finished. Mark incomplete inputs so a provisional total is not presented as final.
Trace differences between the room-revenue report and its detailed transactions. Review unusual rates, allowances, routing and package allocations under the property's rules; do not infer an error from a low rate alone.
Compare the approved outlet totals with the postings received by the PMS or accounting workflow. Trace room charges, voids and delayed transfers without counting the same sale twice.
Use the property's reconciliation method to distinguish revenue from payment movements. Check refunds, deposits and settlement timing against their supporting records; do not force different cutoff periods to balance.
Check the reason, supporting transaction and required approval. Identify unusual patterns for review without treating every exception as misconduct. Record any missing authorization.
Capture the reference, amount and currency where relevant, expected versus reported result, likely timing issue if evidenced, owner and deadline. Do not include full payment-card data.
Submit evidence and proposed treatment to the authorized reviewer. Preserve the original reference and approval trail; do not backdate, reopen or finalize a date beyond your permissions.
Use the documented system procedure and avoid simultaneous activity that could invalidate the reconciliation. Regenerate affected reports where needed and ensure the correction was not posted twice.
Record whether the audit is reconciled, awaiting evidence or escalated. Apply the property's finalization criteria rather than inventing a universal acceptable difference.
Record reviewer approval or the precise outstanding decision. Link the final report pack and exception record in approved storage, and notify the owners of any carried-forward work.

Details

Review evidence, not just matching totals

A revenue total can agree while a posting is assigned to the wrong business date, outlet or account. Follow discrepancies back to the source and confirm that the report definitions and cutoff periods match. Separate sales, deposits, refunds and settlement movements according to your property's accounting procedures rather than treating every cash movement as room revenue.

Separate preparation from approval

The preparer collects evidence and proposes corrections; the authorized reviewer decides whether those corrections and remaining exceptions are acceptable. Use your property's control requirements, including independent review where required. The checklist does not prescribe accounting entries, tax treatment or statutory reporting rules.

Keep operational and financial closure distinct

The night audit may already have advanced the hotel's operating date. That does not automatically mean the finance review is final. Where a system permits an earlier date to remain open for income audit, use its approved correction and finalization procedure without interrupting other users or creating duplicate postings.

Hotel Income Audit Checklist and SOP Frequently Asked Questions

When should the income audit take place?

At the point defined by the property's finance process, usually after the operational night audit has produced the relevant reports. The correct timing depends on when outlet, payment and interface data are complete.

Does every reconciliation difference mean revenue is missing?

No. Different cutoffs, delayed interfaces, duplicate records or classification differences can explain a mismatch. Trace it to evidence before deciding whether a correction is needed.

Can an income auditor change a closed business date?

Only through the approved system procedure and authorization. Some systems allow a separate income-audit stage; others require a different adjustment process. Do not assume a date can be reopened.

Is this an accounting or tax policy?

No. It organizes hotel revenue-control work. Your approved accounting policies, local requirements and authorized finance reviewers determine the correct treatment and reporting.
