Gym Closing Checklist for Staff

5.0/5 with 1 votes

Introduction

When the last member leaves, the closing team still needs to reset equipment, check changing rooms, reconcile missing weights, and leave a useful handover for the morning shift.

This gym closing checklist runs step by step in Play. Staff can enter real counts for dumbbells, unavailable machines and cleaning stations that need restocking. Save it as a Template to reuse your site's closing routine each day.

Use it alongside the Gym Opening Checklist to carry unresolved work into the next day.

Record the actual site, shift lead and open problems before walking the floor.
Use the same site and zone name as the opening checklist so records can be compared.
Record the time staff began the closing round.
    Record the accountable staff member.
Check open problems from the day and note which ones must be handed to tomorrow's team.
Check member areas and reconcile observed equipment with the opening record.
Check the class timetable and confirm that scheduled sessions have ended or been handed off.
Check the workout floor, studios and other shared spaces using your approved member-exit process.
Count individual dumbbells—not pairs. Compare with the opening count or expected inventory.
Enter the number missing, damaged or restricted. Identify the weights and rack in a comment.
Count machines that are faulty or restricted at closing. Zero means none were found in the inspected area.
Return usable equipment to marked locations. Keep faulty items restricted and record their identifiers.
Use the site's approved shutdown steps. Don't turn off equipment or systems that must remain powered.
Check tomorrow's readiness, not just whether a cleaning task was attempted.
Inspect the free-weight area, machine surfaces and floor for unfinished cleaning or wet spots.
Follow privacy procedures. Look for leaks, wet floors, overflowing bins and missing supplies.
Follow local waste handling and storage procedures.
Count the cleaning stations that need restocking for tomorrow; enter 0 if none.
Check towels, soap and other offered supplies.
Return mats, benches and accessories; note missing or damaged items.
Use authorized procedures for financial and security checks.
Preserve unhandled member requests and booking or access issues.
Use the facility's existing settlement process; do not record sensitive payment data here.
Write a short handover with the exact location, issue, owner and corrective-task or Issue reference.
Use your facility's approved after-hours settings.
Confirm the approved lock-up procedure was completed. Do not record alarm codes or key locations.
Record the final decision and the time the procedure finished.
Choose Secured, Outstanding action or Pending escalation. Confirm any unresolved problem has an owner.
Enter the time the responsible staff member finished the closing round.

What a Gym Closing Checklist Should Cover

The closing round starts when the last sessions are ending—not when the lights are already off. It gives the next shift a reliable account of the facility's condition and the work still outstanding.

Clear the Member Areas

Follow your gym's normal closing announcement and member-exit process. Confirm that studios, the main training floor and other member areas have been checked before securing access. Respect privacy when inspecting changing rooms and showers; follow the site's approved procedure for these spaces.

Use Issue observed when an area is not ready, and record which employee will handle it.

Reconcile the Weights and Equipment

Start with the free-weight racks. Count individual dumbbells, not pairs, so the number can be compared with the opening register. The checklist has separate numeric fields for dumbbells found, weights missing or unavailable, and cardio machines out of service.

Example: Opening recorded 40 dumbbells; closing finds 38. Enter 38 in the closing count, record that two are missing, and note which rack or weight range needs checking. Don't silently adjust the register or assume the weights have been stolen—they may simply be in another training area.

Return movable equipment to its designated storage. Where a machine is faulty, follow the gym's out-of-service procedure and pass the equipment identifier to the next shift. Normal closure is not the time for untrained repairs.

Leave Cleaning and Supplies Ready for Morning

Confirm the floor and shared equipment have been cleaned to the gym's standard. Walk the toilets, changing rooms and studios. Check that towels, paper supplies and member cleaning stations will be usable the next day.

A numeric field for sanitation stations needing refill is more useful than a blanket "restocked" checkbox. If one station is empty, record one and name its location.

Close Reception and Secure the Premises

Close member-facing work, record unresolved requests and confirm that authorized staff have followed the existing procedures for payments, access controls, doors and security systems. Do not put keys, alarm codes or private payment information into a shared checklist.

Record the closing time and manager's decision. Closed with outstanding action is a valid outcome when a problem still needs to be resolved. The record should identify the problem and its owner rather than conceal it.

Give the Morning Team a Usable Handover

A good handover answers four questions: what happened, where, who owns it and what happens next? For a faulty treadmill, for example, record the machine number, fault observed, restriction in place and Issue reference.

Use Checklist Pro to schedule this procedure and assign the closing shift. To report defects from Play, first enable Allow issue reporting in the saved Template settings. Staff can then raise a separate Issue on the affected task and optionally manage follow-up through an Issues checklist. Play captures observed counts, status choices and notes; finishing the run does not automatically create or resolve an Issue.

The Gym Opening Checklist begins by reviewing this handover.

This checklist is a general daily operations aid, not a safety certification or a substitute for your site's risk assessment, emergency procedures or manufacturer maintenance instructions. Adapt it to your facility and local requirements. Have trained, authorized staff assess faults and keep unsafe equipment or areas out of use.

Who it's for

Gym closing supervisors, facilities employees and staff responsible for end-of-day checks.

How to use

  1. Save this as a Template and adjust the closing route to your facility.
  2. In Pro, set the recurring shift schedule and enable issue reporting if your team uses it.
  3. Run each new checklist in Play, recording counts, inspections and the next-shift handover.
  4. Record the manager's closing decision and the actual completion time.

Gym Closing Checklist Frequently Asked Questions

How do opening and closing dumbbell counts connect?

Both rounds count individual dumbbells, not pairs. Compare the count with the previous run or your equipment register. If numbers differ, record the location and investigate; the checklist does not reconcile counts automatically.

What if the gym is closed but some equipment still needs repair?

Select Closed with outstanding action when appropriate and record the affected machine, any restriction in place and the person assigned to resolve it. Do not treat a finished run as proof of repair.

How do I use Pro Issues with this checklist?

After saving as a Template, enable Allow issue reporting in its settings. Staff can then create a separate Issue on the relevant task during a run. A choice of Issue observed is not itself a submitted Issue.

What should the morning team receive?

Give the next shift the unresolved item's exact location, what was found, the action taken, the owner and any Issue reference. Record missing weights, equipment out of service and supplies needing attention.
