Gym Opening Checklist for Staff

5.0/5 with 1 votes

Introduction

Before the first member arrives, the gym needs more than an unlocked door. This gym opening checklist guides staff through yesterday's handover, the exercise floor, equipment, changing rooms and reception.

Run the round step by step in Play. Staff can enter numbers such as dumbbells found, machines out of service and cleaning stations that need refilling. Save it as a Template to reuse your site's opening routine each day.

The Gym Closing Checklist records what the next opening shift needs to know.

Start with the current shift and yesterday's unresolved work.
Enter the gym site and, if applicable, the particular floor or area.
Enter when staff started the check, not the advertised opening time.
Name the accountable person for today's opening.
Read the last closing record. Keep unresolved faults and their Issue references visible for the opening manager.
Walk your normal route and record faults or areas you could not inspect.
Check door function, lighting and clear access before admitting members.
Check the designated routes and exits from accessible areas. Report obstructions immediately.
Check that required equipment is accessible and its visible readiness indicator is normal; follow the site's approved checks.
Look for water, loose mats, exposed cables, trip hazards and damaged floor areas.
Confirm essential facilities are operating in member areas.
Record observed counts; compare with the equipment register and previous shift.
Count individual dumbbells—not pairs—on the designated racks. Compare with the register or the last closing count.
Enter the number of individual dumbbells missing or unusable, if you know the expected total. Name the affected weights in comments.
Enter the number of cardio machines out of service or showing faults. Enter 0 only after inspecting the area.
Check for visible damage, instability, loose attachments and unsuitable storage.
Inspect shared accessories and keep clearly damaged items out of use.
Record the affected equipment's identifier and location, and apply the site's out-of-service procedure.
Check the member areas you offer. Flag shortages by room or zone.
Inspect cleanliness, standing water, supplies and visible damage while respecting privacy.
Enter the number of member cleaning stations that need replenishment. Zero means all inspected stations have supplies.
Test the member water points your gym provides. Report leaks, blocked access or outlets that are not working; mark Not applicable if none are offered.
Check available towels, soap, paper supplies and waste bins, as relevant to your site.
Check flooring, class equipment, room layout and the day's planned setup.
Check the approved access or member check-in process.
Review duty assignments, staff presence, timetable and any gaps.
Record exceptions, owners and the separate opening decision.
List each unfinished item with its location, responsible person and Issue or task reference. Enter 'None' only if clear.
The duty manager reviews the results and records Ready, Restricted or Delayed. Don't mark Ready merely because the round is complete.
Fill this only after the facility opens; otherwise leave it blank.

Daily Gym Opening Procedure

This is a starting routine for a gym or fitness studio, not a technical maintenance inspection. Adapt the location names and checks to your site, and follow your existing procedures for equipment testing and emergency systems.

Begin with the Closing Handover

Review yesterday's unresolved problems before walking the floor. For example, a treadmill marked out of service at closing must not disappear from the record just because a new shift has begun. Keep the equipment location and Issue reference visible until somebody verifies the correction.

Record the gym, the person responsible and the start time. These details make completed rounds useful when more than one employee works the opening shift.

Walk the Premises in a Consistent Order

Check access paths and entrances, then move through emergency routes, the strength floor, cardio area, studios, changing rooms and reception. Look for obstructions, wet floors, damaged accessories, missing cleaning supplies and equipment that should remain out of service. Check staff coverage against the day's earliest bookings and classes.

Only trained staff should perform specialist tests. A daily visual check is different from planned equipment servicing.

Record Real Equipment Counts

Instead of ticking "weights ready," enter how many individual dumbbells you actually counted. The checklist also has number fields for cardio machines unavailable for use and sanitation stations needing a refill.

Example: If the equipment register lists 40 individual dumbbells and you count 38, record 38 found and 2 missing. Note the rack or weight range in the task comment. The system records the numbers; it does not automatically calculate or reconcile the inventory difference.

Use the same counting unit at opening and closing. If an item is damaged, restrict it under your local process and open a separate maintenance Issue.

Decide Whether the Gym Can Open

Not every check will pass. Use Issue observed for a fault and Not checked when a step was skipped. Both deserve a manager's attention. Capture the location, the person following up and any temporary restriction.

The final Play step records the opening manager's decision: ready, open with approved restrictions, or delayed. A finished checklist does not by itself mean all conditions are acceptable.

Turn One Checklist into Daily Operations

Save a site-specific copy as a recurring business routine. With Checklist Pro, schedule opening rounds, assign them to the responsible staff and keep completed records. Play gives each person a sequence of instructions plus number, text, date and choice fields. Before the first run, open the saved Template settings and enable Allow issue reporting if your team uses Pro Issues. Staff can then report a problem against the affected step, with an optional separate Issues management checklist. Recording an inspection answer never creates an Issue automatically; make sure exceptions have an owner and a next action.

Pair this with the Gym Closing Checklist for the next shift's handover. A broader walk-through can start from the Workplace Safety Inspection Checklist.

This checklist is a general daily operations aid, not a safety certification or a substitute for your site's risk assessment, emergency procedures or manufacturer maintenance instructions. Adapt it to your facility and local requirements. Have trained, authorized staff assess faults and keep unsafe equipment or areas out of use.

Who it's for

Gym and fitness-studio managers, opening shift leads and staff responsible for daily facility readiness.

How to use

  1. Save as a Template; adapt the route, required areas, equipment counts and assigned roles.
  2. In Pro, schedule an opening run and enable Allow issue reporting in Template settings if needed.
  3. Have opening staff run the fresh checklist in Play, entering observed counts and conditions.
  4. Review exceptions and record the duty manager's opening decision.

Gym Opening Checklist Frequently Asked Questions

How do I record missing dumbbells?

Count individual dumbbells, not pairs. Enter the number actually found, compare it with your site inventory, and record the missing or damaged items separately. Identify the rack or weight range.

What if an inspection step cannot be completed?

Select Not checked when available and explain why. It is not a pass. The responsible manager should review what remains before deciding whether the gym can open.

How do staff report faults as Pro Issues?

After saving this as a Template, enable Allow issue reporting in Template settings. Then staff can report a fault against the relevant task in a run. Simply selecting Issue observed does not create a report.

Can we adapt this to a small gym or class studio?

Yes. Remove areas you don't operate, rename the zones, and set your own expected equipment counts and staff responsibilities before scheduling the routine.
