Production Shift Handover Checklist

5.0/5 with 1 votes

Introduction

Use this checklist to prepare, discuss and cross-check the information the next production shift needs. A useful handover leaves no ambiguity about current orders, held lots, equipment restrictions or who owns the next action.

Allow enough overlap for a two-way exchange. The outgoing lead prepares the record against production, maintenance and quality sources. The incoming lead should be able to inspect critical references and locations, rather than receiving an unexplained list of notes.

When figures or status disagree, record the discrepancy and resolve it or assign an owner before relying on it. Keep isolation, maintenance and product holds explicit. Receiving a shift does not authorize a restart or release.

Form is the default so the incoming lead can inspect quantities, restrictions, held stock and priorities together. Play supports the live two-way handover. The saved checklist includes separate quantity, held-material and equipment cross-checks.

Allow time for a two-way handover and the incoming lead’s cross-check.
Record the exact line, cell or area covered by this handover.
Record the outgoing and incoming shift identifiers and dates so overnight shifts are unambiguous.
Use the actual local handover date and time.

    Click to Assign task
Choose the person receiving and cross-checking the record.
Reference the complete per-order/lot production record with its as-of time. Do not report an unqualified line total across mixed products.
Manually add a separate copy of this group for each additional order, lot or unit basis. Rename each group so the incoming lead can find the relevant record. Do not overwrite earlier rows or sum unlike units. If this shift has no active order or lot, remove the unused quantity section before use and record “No active production” with the source/as-of basis in the production-source answer. Do not invent orders or quantities.
Use one exact order/product revision for this quantity record.
Use one traceable lot/batch or approved WIP grouping for this order.
Output and WIP below must use this same controlled unit; split the record if their units differ.
Use actual accepted output under the site definition. Do not include unreleased or held stock as accepted output.
Use actual WIP in the same stated unit. Keep held status separately traceable; do not assume output and WIP can be summed.
Add this order/lot’s source reference, current step, count basis or limitation when it differs from the production source above or needs explanation. The actual as-of time is recorded separately. Leave blank when the shared source already provides the basis.
Enter the actual as-of date/time for this order/lot record.
Handover acknowledgment cannot restart isolated equipment or release product.
For any affected asset, record its ID, fault/maintenance/isolation reference, current restriction and authorized service/restart owner. Leave blank after checking the source records when no faults/restrictions are reported. Example categories: a machine awaiting maintenance or an out-of-status gauge; tailor to the actual line.
For each actual hold, record lot/material identity, quantity/unit, physical location, reason/reference and owner, and match the physical identity against the hold record. Leave blank when no holds exist; do not use an unexplained line-level held total.
Record affected order/material, required quantity/unit, actual available quantity and expected next update where known. Distinguish shortages from substitutions approved elsewhere; leave blank only when none apply.
Record the affected operation and coverage gap or other operational constraint without private personal reasons. Identify the accepted owner and next update; leave blank when none apply.
List the approved next orders or activities in priority order, with the plan reference, due times and dependencies. Keep any held or restricted scope explicit.
Reference the complete accepted open-action list. Each action needs the affected order/lot/asset, next step, accepted owner and agreed time. Add separate native follow-up tasks before finishing so the receiving shift can manage them; leave blank only when no open work remains.
Resolve conflicting figures or restrictions before relying on them.
With the incoming lead, compare critical order/lot quantities against the source and as-of basis. Add the checked references or a discrepancy here when useful. If there is no active production, verify that status against the source without inventing quantities.
With the incoming lead, verify applicable physical hold identities/locations against the hold register using authorized access. Note exceptions in the discrepancy field; when no holds exist, verify that against the source record.
Review applicable asset restrictions against the maintenance/isolation record. Confirm the receiving lead understands what remains restricted and the authorized owner; do not operate or reset equipment to test a restriction.
For any mismatch, retain the original report and corrected evidence, state what remains uncertain and identify the accepted resolution owner and review time. Leave blank only when the cross-check found no discrepancy.
Record the actual receipt reference and accepted open-action list. Carry equipment and material restrictions into the next readiness review. Receipt does not authorize equipment restart or product release.

Before you begin

Allow enough overlap for a two-way exchange. The outgoing lead prepares the record against production, maintenance and quality sources. The incoming lead should be able to inspect critical references and locations, rather than receiving an unexplained list of notes.

Exceptions and handoffs

When figures or status disagree, record the discrepancy and resolve it or assign an owner before relying on it. Keep isolation, maintenance and product holds explicit. Receiving a shift does not authorize a restart or release.

Worked example

Outgoing shift reports 120 units complete and 15 held in rack H2. Incoming lead checks the lot record and confirms H2 before taking responsibility for the next inspection.

Review and improve

Review handover records acknowledged by incoming lead, unresolved discrepancies, holds lost or incorrectly cleared between shifts. Use recurring failures and staff feedback to revise the approved process; record the reviewer and revision date.

Keep quantity bases explicit

Record output and WIP by identified work order/product revision, lot or controlled WIP grouping, and the unit used by the source record. Add a separate row for every different order/lot/unit basis and record the as-of time. A line-level total across unlike products or units is misleading; the incoming lead cross-checks the individual rows against the production source.

Site procedures control safety-critical communication and permits. Provide enough overlap time; a form cannot fix a no-overlap staffing plan. No restarting isolated machinery or releasing lots through handover acknowledgment.

Who it's for

Outgoing and incoming shift leads establish a shared picture of output, work in progress, equipment restrictions, held lots and next priorities.

How to use

  1. Save one checklist per production-line or area handover, or tailor a reusable template. Form shows the complete record; Play supports the two-way sequence and List manages open actions.
  2. Record the line/area, both shifts, actual handover time, named leads and controlled production source.
  3. Manually duplicate the quantity section for each order/product revision, lot and unit basis. Record actual output/WIP and the source/as-of time; never combine unlike products or units into one total.
  4. Record equipment restrictions, held-material identities/locations, material shortages, operating/coverage constraints and approved priorities separately.
  5. Have the incoming lead cross-check critical quantities, applicable held stock and equipment restrictions using the three separate tasks. Record discrepancies and their resolution owner/time.
  6. Create separate follow-up tasks with accepted owners and due dates for open work, then record the incoming lead’s receipt and the agreed action-list reference.

Handover acknowledgment does not restart isolated equipment or release held product. Keep those decisions within their authorized site processes.

Record an adverse finding accurately, then create a separate open corrective task with an owner and due date. An answered observation is not approval to start, accept or release work.

If this shift has no active order or lot, remove the unused quantity section before use and record “No active production” with the source/as-of basis in the production-source answer. Do not invent orders or quantities.

Required answers capture the essential identity, decisions or observed results. Supporting references and exception notes can stay blank when no additional entry is useful. Complete applicable checks under the site/project process; optional fields do not waive its requirements.

Production Shift Handover Checklist Frequently Asked Questions

Is sending a shift report enough?

A written record helps, but the receiving lead should have a chance to ask questions and cross-check critical information. Follow the site’s communication requirements.

What belongs in the open-actions section?

Include the affected order, lot or equipment, current restriction, next action, owner and required time. Link the authoritative record.

Should the incoming shift repeat every inspection?

Use the approved plan and any changed conditions to decide. Handover itself neither replaces required checks nor demands unnecessary repetition.

Why is Form the default?

The receiving lead needs to review a coherent status record across quantities, holds, restrictions and priorities. Play remains available for the live handover sequence, and List supports the independently assigned follow-up work.
