Workplace Safety Inspection Checklist

Introduction

Use this workplace safety inspection checklist for a defined site or work area. Play guides a competent inspector through the route and records each observed condition, with List available for reviewing work and assignments.

Customize the visible location examples before the round. An observation answer records what was seen; separate corrective-action tasks track each hazard through protection, assignment and reinspection. Follow local emergency or stop-work procedures immediately. This general walkthrough is not a certification of compliance or a substitute for specialist inspection.

Record the site, named area, inspection date/time, competent inspector and applicable local procedure/reference. Include excluded or restricted areas and the specialist inspections that this general walkthrough does not replace.
Ask workers in the area about recent changes, close calls and recurring hazards. Add the activities and places they identify to the route, including temporary storage or contractor work that may not appear on a floor plan.
Before the run, rename the starter locations for the actual approved route. Duplicate a check for each distinct exit or route that needs its own observation. Follow local emergency/protective procedures immediately when required; do not wait to enter an answer.
Rename for the exact exit. Observe obstruction, accessible opening/route and any relevant visible condition without operating safety equipment outside the approved procedure. Record the exact location and facts in task notes.
Rename for the exact corridor/aisle. Walk the safe approved route and observe obstructions, trip hazards and access to emergency equipment. Duplicate for distinct routes.

Look for spills, accumulated waste, trailing leads and items left where people work or walk. Record the condition and current controls, then arrange safe correction by the responsible person rather than handling unknown substances yourself.

Before the inspection, name the exact area in this task and duplicate it for separate locations. Record the factual observation and safe evidence reference in the task notes. Not inspected is an observation gap requiring a separate follow-up, not a passing result.

Inspect visible stacking, shelf loading, protruding items and access to stored materials from a safe position. Do not climb unstable storage or move heavy loads to inspect; mark concerns for the competent owner.

Before the inspection, name the exact area in this task and duplicate it for separate locations. Record the factual observation and safe evidence reference in the task notes. Not inspected is an observation gap requiring a separate follow-up, not a passing result.

Check accessible cables, plugs and equipment for obvious damage or unsafe placement without opening covers or touching exposed parts. Keep unsafe equipment out of use through the local authorized procedure and refer repair/testing to qualified people.

Before the inspection, name the exact area in this task and duplicate it for separate locations. Record the factual observation and safe evidence reference in the task notes. Not inspected is an observation gap requiring a separate follow-up, not a passing result.

Name the actual area and duplicate the relevant child check for separate locations. Observe from a safe position under the local inspection procedure. Record the precise location, factual condition and safe evidence in each task’s notes; refer specialist building-system concerns to the responsible owner.
Observe failed or insufficient lighting affecting safe movement under the site’s procedure. Record the exact location and observed condition; do not open fixtures or attempt electrical work.
Observe whether required route and emergency signs are visible, understandable and unobstructed according to the site procedure. Record the actual missing, damaged or obscured sign/location.
Observe visible damage, uneven surfaces or other conditions affecting safe movement. Record the precise location and condition, and refer structural concerns to the competent owner.

Review the controls that the local assessment requires for the work being observed. If machinery, chemicals or specialist equipment need expert inspection, record the referral and do not mark them safe based on this general checklist.

Before the inspection, name the exact area in this task and duplicate it for separate locations. Record the factual observation and safe evidence reference in the task notes. Not inspected is an observation gap requiring a separate follow-up, not a passing result.

For every observed issue, add a separate named corrective-action task with the exact location, factual condition, safe evidence reference, required control and responsible owner. Include the interim protective action and next review date. Avoid unnecessary personal details. Multiple hazards need separate actions when owners or due dates differ.
Apply the site’s stop-work, restriction or emergency escalation procedure within your authority. Record whom you notified and what temporary control is in place; do not delay protection while completing the form.
Agree a responsible owner and appropriate target date for each finding using the local risk process. Specify what a satisfactory correction would look like and keep open hazards visible while work is pending. Put the owner and date on each separate corrective-action task. A recorded inspection answer completes the observation only; it does not resolve the hazard.
Check the actual location or work practice after correction and compare it with the intended control. Record the date, result and evidence; a repair request or photo of materials purchased does not establish that the hazard is controlled. Keep the corrective-action task incomplete until this verification is satisfactory. Retain the original observation when adding the recheck evidence.
Escalate overdue work and repeated problems to the appropriate owner. Ask whether the control or process needs to change, record the next decision and set the next inspection based on the local procedure.

A useful inspection record says where the issue is, what was observed and what must happen next. Involve people who know the work and include changes or temporary activities that a static checklist may miss. Adapt the checks to the site and the inspector’s competence.

This general walkthrough does not replace a qualified risk assessment or specialist inspection. Keep people safe first; do not investigate electrical, chemical, machinery or structural concerns by taking risks or attempting unqualified repairs.

Illustrative example: cartons block the rear exit. Record the location, arrange immediate protection under the site procedure and assign the storage owner. Reinspect the route after the cartons are moved and address why they accumulated there, rather than closing the finding when someone agrees to move them.

Adapt this general walkthrough to the site and use competent inspectors. Follow local emergency and hazard-control procedures first; specialist inspections and legal obligations remain separate.

How to use

  1. Save one checklist per site/area and inspection round, or a reusable template for the approved route. Record the date/time, competent inspector, scope and local procedure.
  2. Rename the main-exit and access-route examples for your locations. Add location names to the other checks, duplicate them for distinct areas and remove examples outside the agreed scope.
  3. In Play, record the actual observation for each check. Put the precise location, factual condition and safe evidence in task notes. A restricted or skipped area is Not inspected and needs follow-up.
  4. Follow local protective and escalation procedures immediately. Do not delay urgent action to complete the record or inspect outside your competence.
  5. Saving a result completes the observation record. For each issue or inspection gap, add a separate corrective/follow-up action with owner, due/review date and interim control.
  6. Keep corrective actions open until the actual condition is reinspected and satisfactory evidence is recorded. Retain the original finding, review recurring/overdue issues and follow the site’s next inspection process.

Workplace Safety Inspection Checklist Frequently Asked Questions

Who should use this checklist?

A person competent for the site’s general inspection, supported by workers familiar with the activities. Specialist hazards and formal inspections need the appropriately qualified person and local procedure.

What if a hazard needs urgent action?

Follow the site’s emergency, stop-work or restriction procedure first and notify the responsible person. Do not delay protection to complete the checklist or attempt a repair outside your training and authority.

When is a finding closed?

When the corrective action has been checked at the actual location or work practice and the intended control is working. Keep the verification date, responsible checker and evidence with the finding.

Does a completed checklist prove compliance?

No. The site’s risks, laws and required controls determine what is necessary. Adapt this walkthrough and obtain qualified advice; do not copy generic examples as a substitute for site-specific assessment.

Does choosing Issue observed resolve the hazard?

No. Saving any answer completes the observation record. Create a separate corrective-action task for the hazard, record interim protection, assign its owner and next date, and keep it open until the actual condition is reinspected and verified.

How do I cover several locations?

Rename the visible starter locations, then duplicate the relevant checks for each distinct area or route. Record the exact location with each observation. Separate corrective actions are needed where hazards have different owners, controls or target dates.
