Building Maintenance Checklist

Introduction

Use this building maintenance checklist to walk an accessible area or short site route, record one observation at a time and report faults for follow-up. Play guides the round; Issues keeps repair work separate from the inspection result.

Complete the site, route, inspector and start-time fields once. Before starting, label each observation with its actual room or asset and repeat it wherever a separate result is needed. This is a visual round from normal authorized access; specialist inspections and technical tests belong to qualified staff.

Complete these details once per round, then use the atomic observations below. The named route is not an automatically generated room module.
Use the site name or permitted site reference used by the maintenance team.
State the area covered by this round. Before starting, rename each observation with its actual room or asset; duplicate a check when another asset needs a separate result.
Record the person or role completing this round.
Use the actual inspection date and time. Add the local time zone in Comments if the site works across zones.
Record a permitted previous-round or open-repair reference if one exists. Review existing Issues before creating duplicate repair work.
Record the responsible site role or ordinary work contact for faults found on this route. Use the site emergency process immediately for urgent hazards.
Use only the approved pedestrian approach on the named route.
Look along the named approach from a safe position. Report an object blocking the route; do not enter traffic or a cordoned area.
Look for visible damage to the named walking surface. Do not test unstable ground.
Observe standing water from a dry, safe position. Do not walk through it to finish this check.
Label each corridor, stair or handrail included in the route before the round.
Look for stored items obstructing the named corridor. Do not assess statutory escape-route compliance.
Inspect the named tread from normal safe access. Create a separate check for each tread or section requiring its own result.
Look at the named handrail section. Do not pull, load-test or certify it.
Inspect the named surfaces from floor level. Do not disturb suspect material or open a ceiling.
Look at the named floor section for damage. Describe the defect in an Issue without diagnosing its cause.
Compare the named wall section with previous evidence where available. Do not diagnose structural causes.
Look at the named ceiling section from floor level. Do not climb or touch a bulging or suspect surface.
Use ordinary permitted operation only. Keep each door and window separately identified.
Operate the named door only if authorized and safe. Do not force it, adjust a fire door or defeat security.
Observe the named pane from a safe distance. Do not touch broken or suspect glazing.
Label the individual fixture. Do not dismantle fittings or enter contaminated water.
Observe the named tap connection during normal permitted use, where safe.
Inspect only the visible, normally accessible connection. Do not remove a cover or dismantle the drain.
Observe the floor immediately around the named toilet base from a safe position. Do not touch unknown liquid.
Observe from a safe position. Do not open panels, touch damaged equipment or test live circuits.
Observe the named light during normal permitted operation. Give each light needing an independent result its own task.
Look at the named socket cover without touching it. Escalate a suspected electrical danger through the site process.
Inspect only the named cable visible from normal access. Do not move or handle a damaged cable.
Use only the named unit accessible from an occupied area. Do not enter restricted plant, remove guards or change controls.
Look at the named accessible grille for an obstruction. Do not remove it.
Observe the accessible surface directly beneath the named unit. Do not diagnose the source of liquid.
Listen from normal safe access while the named unit is operating. If it is off or cannot be assessed, record Not inspected and the reason.
Read the named unit display without changing settings. If a warning appears, quote its text or code in the Issue.
Use only locations visible from the approved route. Do not handle sharps, unknown substances or drain covers.
Observe the named bin without handling its contents.
Look at the named ground-level inlet without opening it or removing debris.
Observe the named drainage area from safe ground. Do not enter pooled water or climb to inspect a roof.

Details

One check, one result

Keep each task narrow enough to answer once. For a ventilation unit, grille blockage, visible water, unusual noise and a warning display are four separate checks. Name the room and unit before starting.

Prepare the route

Use a named area or short site route. Label and repeat the relevant checks manually so every included asset has its own result. Room-by-room module generation is a later enhancement; it is not needed to use this starter.

Keep observations and repairs distinct

Record what was observed in the round. Use Issues to report a defect needing action. A linked Issues checklist holds the repair assignment, due date and recheck work; completing the inspection does not close that work.

This is a visual maintenance round, not a statutory inspection or authorization to test or repair equipment. Follow the site’s access restrictions, escalation process and qualified-service requirements.

Who it's for

Facilities staff and site leads recording routine observations in accessible building areas and handing repairs to the responsible team.

How to use

  1. Save a checklist for a quick round, or a site Template for recurring inspections. Name the area or short route, label the room or asset on each applicable check, and repeat checks where separate assets need separate results.
  2. For managed repairs, enable Allow issue reporting in the Template and select or create a destination under Manage reported issues in, then start a Run from that Template. Basic reports can also be kept without a management destination.
  3. Open Play. Complete the Round details fields, then choose a result for each atomic observation. Explain Not inspected or Not applicable in Comments. A result records the observation; it does not create an Issue automatically.
  4. For a defect needing action, choose Report issue on that check. Enter a specific Title, add a Description and any useful photos or files, then choose Report. Use Report another issue for a distinct defect. Escalate urgent hazards through the site process immediately.
  5. For a managed report, verify its linked task exists, then use View managed issue to assign the repair owner and due date. Keep repair updates and recheck evidence there; complete the linked task only after the correction has been verified.
  6. Review uninspected checks and open Issues before ending the round. Inspection results can be complete while repairs remain open. For a recurring fault, reference the existing managed issue and add the new dated observation instead of creating duplicate repair work.

Building Maintenance Checklist Frequently Asked Questions

What should a building maintenance checklist include?

Include the observable conditions relevant to the area: access obstructions, surface damage, visible leaks, ordinary lighting and individual equipment symptoms. Give each condition its own task and each asset its own identifier.

How often should the checks be repeated?

Use the frequency set by your site’s maintenance plan and equipment guidance. Review it when defects recur or conditions change. This starter does not prescribe one interval for every building.

What if an area cannot be inspected?

Choose Not inspected and explain why in Comments. Report the deferred inspection if someone must arrange access or follow up. Do not record it as No issue observed.

Does finishing the round close its maintenance Issues?

No. The round records the inspection results. Managed repair work stays open in the linked Issues checklist until the responsible team verifies the correction and completes the linked task.

What should I do when the same fault appears again?

Review the existing managed issue, add the new dated observation and reference it from the current check’s Comments. Keep the repair history together instead of creating duplicate work. Escalate a worsening condition under the site process.

Is this the same as a specialist building inspection?

No. This is a routine visual round from normal authorized access. It does not replace qualified building assessments, statutory inspections or technical testing.
