This becomes your single source of truth across training, daily operations, and management. Start by using this ready-made SOP and roll it out immediately, then customize or refine it as you go.

Procedure

You can customize each step, add notes, set required fields, and define data capture requirements.
Check the property's confirmation criteria and current agreement status. Identify any conditions still outstanding; do not hand over a tentative enquiry as confirmed business.
Record the booking or block reference and latest agreement or amendment reference. Make the current version accessible to the authorized receiving team.
Identify the continuing sales contact, receiving operational lead, planner and authorized on-site contact. State who can approve commercial changes and how urgent issues are escalated.
Compare the agreed rooms by night and type with the booking system. Include authorized arrival or departure extensions and any exceptions. Assign discrepancies for resolution before presenting the figures as final.
Explain whether guests book individually or through a submitted list, who handles updates and where the latest information is held. Transfer the actual list deadline where applicable; do not copy guest data into broadly shared notes.
Separate reservation cutoff, payment, rooming-list, final event-detail and other applicable deadlines. Record each from the authoritative terms with the person responsible for follow-up; do not treat cutoff as automatic cancellation of the whole group.
Confirm which charges belong to the group and which to individual guests, together with authorized payment and credit arrangements. Refer finance questions to the responsible person. Do not copy card numbers or assume all incidentals go to the master account.
Identify included meals, upgrades, welcome items, transport or other commitments only where agreed. Distinguish confirmed services from requests still awaiting approval and name the delivering department.
Share the agreed arrival pattern and operational requirements with reservations, front office, housekeeping and any other affected team. Confirm what can be prepared; an early-arrival request is not a promise that rooms will be ready.
For groups with functions, identify the current event documents and owner. Flag missing details or conflicts between accommodation and event plans. Mark this step not applicable for a room-only group rather than inventing an event programme.
Check that the responsible team has the information needed for accessibility, dietary or other agreed requirements. Restrict sensitive detail to authorized recipients and resolve unconfirmed capability before promising delivery.
List the issue, owner and due date in the agreed action record. Highlight anything that could prevent delivery, then confirm who can make the required decision.
Ask recipients to confirm the dates, responsibilities and exceptions that affect their work. Resolve conflicting interpretations and record which teams have acknowledged the current version.
Confirm the receiving lead and next review point. Keep a qualified status when actions remain; escalate blockers. Tell affected teams where approved changes will be recorded and how they will be notified.

Introduction

A hotel group booking handover transfers agreed commitments from sales to the people who will deliver the stay. Use this checklist to reconcile the booking record, explain exceptions, assign outstanding actions and confirm that operations has accepted the handover. It starts after agreement, not when an enquiry first arrives.

Turn the agreement into an operational brief

The receiving team needs to know what is confirmed, where the supporting record lives and who owns the next decision. A forwarded proposal is not enough when dates, concessions or payment arrangements changed during negotiation.

Build the handover from the latest agreement and approved amendments. Keep pending requests visibly separate from confirmed services. Where the system and agreement disagree, assign someone to resolve the discrepancy instead of asking the next shift to decide which version to trust.

Distinguish the dates and responsibilities

The rooming-list deadline, room-block cutoff, payment date and guest arrival are different milestones. Transfer the actual agreed dates and the person responsible for each. Do not substitute a standard deadline from a previous booking.

Room-only groups still need clear reservation and billing instructions. Groups with functions also need an events owner and the current event documents, but this handover does not replace event setup, food-service checks or a banquet event order.

Save and use the handover

Save as a Checklist for one confirmed group or as a Template for your sales-to-operations process. Add the local roles who must acknowledge the brief. Record outstanding actions with an owner and due date; keep private guest and payment records in the approved hotel systems.

Once the operational handover is accepted, the front-office team can prepare the group check-in procedure. That is a separate arrival workflow: handing over the booking does not mean rooms are ready or guests have checked in.

Hotel Group Booking Handover Checklist Frequently Asked Questions

When should hotel sales hand over a group booking?

When the booking reaches the property's confirmed stage and the current agreement can be translated into operational instructions. Complete the handover early enough for receiving teams to act, then circulate approved changes as they occur. There is no universal number of days that fits every group.

What belongs in the group handover?

The current agreement reference, room-block and reservation arrangements, billing responsibilities, agreed services, key dates, contacts and unresolved actions. Include only the guest information each recipient needs for their work.

Is a rooming list the same as a group handover?

No. A rooming list identifies the reservations or guests within the group. The handover also explains commitments, billing, deadlines, responsibilities and exceptions. A group may use individual reservations instead of a rooming list.

Who owns changes after the handover?

Name an operational lead and retain a clear sales contact for commercial changes. Route each change through the required approval, update the source record and notify affected teams. A verbal request should not quietly become a confirmed commitment.

Can I download the group booking handover checklist?

Use the checklist download options for PDF, Excel or Word. For the working handover, keep references to the latest hotel records so exported copies are not mistaken for the current agreement.
