Hotel Room Preventive Maintenance Checklist

Maintenance SOP for the Hotel industry

Use this Hotel Room Preventive Maintenance Checklist to train staff, test knowledge, run daily operations, and improve service consistency.

Checklist Framework: Define → Train → Test → Do → Manage

DEFINE MODE

Turn your Hotel Room Preventive Maintenance Checklist into a clear, step-by-step checklist anyone on your Maintenance team can follow. This becomes your single source of truth across training, daily operations, and management. Start by using this ready-made SOP and roll it out immediately, then customize or refine it as you go.

Procedure

You can customize each step, add notes, set required fields, and define data capture requirements.
Check the planned maintenance work and recent defect history. Coordinate with reception and housekeeping, verify occupancy and access permission, and confirm who controls the room's availability during the work.
Use the room's equipment list, manufacturer instructions and site maintenance plan. Confirm the tools, permits and qualified support required. Do not extend an inspection into a specialist repair outside your authorization.
Follow the room-entry procedure and protect guests, staff and belongings. Where the task requires isolation or other controls, use the approved procedure through competent authorized staff before work begins. Stop if those controls cannot be established.
Use approved functional checks for the latch, closer, lock and any fitted viewer or secondary security device. Record failed operation and refer access-control faults to the authorized specialist. Do not defeat or bypass a lock to continue the check.
Follow the planned visual and permitted functional checks. Look for damage, loose fittings or signs of overheating without opening energized equipment. Stop use and escalate suspected electrical faults through the approved process.
Check taps, shower fittings, toilet operation and visible leaks using the approved method. Record the precise location and symptom. Report water-temperature or drainage concerns for the appropriate investigation; do not improvise system settings.
Test permitted operating functions against the site standard. Note abnormal noise, leaks, blocked airflow or unresponsive controls. Follow the maintenance plan for filter or equipment service rather than opening or altering equipment outside your role.
Look for unstable furniture, damaged fittings and faulty permitted window operation. Check listed room appliances and guest controls using their instructions. Record the asset or location so the repair team can find the defect.
Perform only the checks assigned to your role for alarms, safety signage or other listed equipment. Refer specialist inspections to the responsible technician. Do not disable equipment or treat a visual check as a required technical test.
Give each issue a location, clear symptom, priority and work-order reference in the maintenance system. Notify the responsible colleague immediately about safety-critical findings. Keep unresolved items visible at handback.
Have the authorized person verify the repair as required. Remove tools and waste, reinstate equipment through the approved process and coordinate cleaning or inspection. Do not conceal an unresolved fault behind a completed task.
Record whether engineering clearance is given and what remains open. Obtain any required approval, then confirm reception and housekeeping received the status. Do not treat checklist completion as an automatic availability update.

Introduction

A hotel room preventive maintenance checklist helps engineering staff inspect room equipment, record defects and hand the room back with a clear status. It covers planned functional checks, not housekeeping cleanliness or specialist repair instructions.

Details

Inspect a room without losing its status

Agree access and the room's availability with reception before work starts. A room can look ready while a lock, fitting or appliance remains unsafe. Engineering findings and the final release decision need to reach the colleague who controls room allocation, not just remain in a maintenance note.

Separate checks from repairs

Use the manufacturer's instructions and the hotel's maintenance plan to decide what to test and how often. Record the location, symptom and work-order reference for each defect. A leaking connection, damaged electrical fitting or failed door lock may need a competent specialist; checking a box does not authorize a repair or make the equipment safe.

Make the handback explicit

Save this as a Template and adapt the checks to the room types and equipment at your property. Use the outcome field to distinguish an inspection from an authorized room release. Keep detailed repair records in the approved maintenance system. After engineering clearance, the housekeeping room inspection and room assignment procedure cover their separate parts of readiness.

Hotel Room Preventive Maintenance Checklist Frequently Asked Questions

How is this different from a housekeeping room inspection?

Housekeeping checks presentation, cleanliness and service readiness. This checklist covers the operation and condition of room fixtures and equipment, maintenance records and engineering clearance. A room may need both checks before it is assigned.

How often should guest rooms receive preventive maintenance?

Set the interval using the equipment instructions, hotel maintenance plan, usage and defect history. Schedule access with reception. This template does not prescribe one interval for every room or asset.

Should every defect keep a room out of service?

Not necessarily. Record the defect and let the authorized person assess safety, guest impact and hotel policy. An unresolved safety-critical fault must not be treated as cleared just because other checks passed.

Can housekeeping staff use this to repair electrical faults?

No. They can report a symptom through the hotel's defect process. Electrical work and other specialist tasks require the appropriate competence and authorization; this checklist does not provide either.

Who releases the room after maintenance?

Follow the hotel's approval process. Engineering confirms the repair or inspection outcome, and the authorized room-status owner updates availability after any required housekeeping or management checks. Do not assume a work-order closure automatically releases the room.
