DEFINE MODE

Turn your Hotel Turndown Service Procedure into a clear, step-by-step checklist anyone on your Housekeeping team can follow. This becomes your single source of truth across training, daily operations, and management. Start by using this ready-made SOP and roll it out immediately, then customize or refine it as you go.

Procedure

You can customize each step, add notes, set required fields, and define data capture requirements.
Use the internal room reference only. Do not add guest identity documents or other unnecessary personal data.
Confirm the room is assigned for turndown and check the hotel’s approved notes for timing, access restrictions, requested supplies and service preferences.
Bring only what the planned service needs. Keep clean supplies protected and separated from used linen and waste; check stock condition before going to the room.
Respect Do Not Disturb and other access restrictions. Do not knock or enter against a privacy instruction for routine turndown. Record the restriction and follow the hotel’s escalation process for any concern.
Use the hotel’s knock, announcement and entry procedure. If the guest is present, ask whether service is welcome now. If declined, deferred or supplies-only, respect the limit and record that outcome without completing unperformed tasks.
Do not open luggage, move valuables or reorganize personal items. Position equipment without blocking exits or creating a trip hazard. If belongings prevent service, ask rather than moving them without permission.
Fold back the bedding and arrange pillows as trained for the occupied beds. Store decorative items in the designated clean place, not on the floor. Do not strip the bed for a routine turndown.
Follow the property’s change policy and the guest’s request. Arrange replacement of visibly soiled or damaged linen; do not hide it under folded bedding. Keep used linen separate from clean supplies.
Use the approved products and separate bathroom equipment. Address visible splashes or a used basin as permitted, replenish needed supplies and change towels according to the hotel’s policy and guest preference.
Do not treat belongings, receipts or items beside a bin as rubbish. Follow the hotel’s process for room-service trays; do not leave them obstructing the corridor.
Clean your hands and change gloves as required by the hotel’s hygiene procedure after bathroom or waste handling and before touching clean amenities. Check that supplies match the service standard and any confirmed request. Do not improvise food, dietary substitutions or allergy assurances; refer these questions to the responsible team.
Use the hotel’s evening setup where appropriate or follow the guest’s request. Keep a safe route around the bed and bathroom. Do not change a chosen thermostat setting, add fragrance or turn on entertainment without agreement.
Record the location and problem against the relevant task and notify the responsible colleague. Stop for safety or security concerns; never conceal a fault simply to finish the service.
Remove equipment and supplies, check that nothing was left behind and thank the guest if present. Close and secure the door according to the hotel’s access procedure.
Choose the result that reflects what happened, not just that the room was on the assignment list. Add a short note for limited or deferred service and any agreed revisit time.
Use the hotel’s service log or approved handoff channel and identify who will follow up. Recording the outcome here does not automatically notify hotel colleagues or update another system.

Introduction

Turndown service is a light evening service that prepares an occupied hotel room for sleep. This SOP covers permission to enter, preparing the bed, refreshing agreed amenities and leaving a secure, comfortable room. It is not a second checkout clean. Save it as a checklist for one room or a template for your evening team.

Details

Let the guest’s preference set the service

A turndown assignment is not permission to ignore a privacy sign. Check the service list and approved preferences before approaching the room. Guests may accept the service, ask for a later visit, request supplies only or decline. Record the actual outcome rather than treating every assigned room as serviced.

Prepare for sleep without rearranging the guest’s stay

Follow the property’s bed presentation and amenity standard, but leave personal belongings and chosen room settings alone unless the guest asks otherwise. A quick bathroom refresh and removal of agreed waste are different from a full clean. If the room needs work beyond the evening service, arrange it through the supervisor rather than extending the visit without agreement.

Only offer approved amenities. Do not improvise food substitutions or make allergy assurances. Avoid adding fragrance or switching on entertainment as a default; these are preferences, not universal signs of good service.

Keep the handoff usable

Customize the template to the evening service your property actually offers, including its bed style and amenity list. Use task notes or issues for a fault or request, and the final outcome for completed, limited, declined or deferred service. Pass deferred visits and outstanding requests to the next responsible colleague. A saved checklist is not an automatic update to the hotel’s service log.

Hotel Turndown Service Procedure Frequently Asked Questions

What is hotel turndown service?

Turndown is an evening room service that prepares the bed for sleep and makes a light, guest-approved refresh. Depending on the property, it may include towels, water or other approved amenities, curtains and suitable lighting.

How is turndown different from room cleaning?

Room cleaning prepares or fully services the room. Turndown focuses on evening comfort in an occupied room, with minimal disruption and respect for the guest’s belongings and preferences. It does not replace cleaning or necessary maintenance.

What should staff do if a guest declines turndown?

Respect the decision, do not enter to complete the checklist anyway, and record service as declined. If the guest requests another time or supplies only, record and hand over that specific request according to the hotel’s process.

Must turndown include chocolates or a fixed bedtime setup?

No. Amenities, timing and bed presentation depend on the property and guest preferences. Use only the hotel’s approved offering; do not substitute food or promise it is safe for a guest’s dietary needs.
