Construction Job Handover Checklist

Introduction

A handover is useful when the receiving team can find the right information and knows what remains open. Use this checklist to reconcile scope, assemble the required records, verify recipient access and document demonstrations and receipt.

Use the project’s agreed handover requirements to build the document index. Identify the authorized receiver and the people supplying manuals, warranties, as-builts and other applicable records. Link current versions from an approved location; avoid scattered unlabeled attachments.

Missing files, failed recipient access and unresolved punch items remain explicit exceptions. Give each an owner and agreed date. Keep acknowledgment of receipt separate from legal acceptance, completion certification, waiver or final-payment approval.

Form is the default because the output is a reviewable handover record. Separate starter fields for as-builts, manuals, warranties, commissioning records and asset information show exactly what to capture; tailor them to the project before use.

Receipt does not establish contractual acceptance, legal release or commissioning certification.
Identify exactly which project, building, phase or system this handover covers. State exclusions so the receiver knows its boundary.
Reference the agreed scope or requirements schedule and its revision/date.
Record the named person receiving this package and their project role. Confirm the operating owner where different; formal acceptance follows the authorized project process.
Use when the operator or facilities owner differs from the receiving contact. Record the named owner and the systems they will operate.
Compare the agreed handover requirements with the completed scope. Record missing, disputed or excluded items with their owners when present; leave this exception answer blank when no such items remain.
Discuss any open punch items and record their references, impacts, accepted owners and agreed dates. Retain receiver acknowledgment in the approved record. Leave blank when no punch items remain.
Starter document examples: retain only applicable deliverables, rename for actual systems and add missing requirements before use. Link a separate controlled index when the project uses one; otherwise use the deliverable fields as the index where permitted.
If the project has a separate document index, add its controlled reference here. Otherwise the deliverable fields below may serve as this handover’s index where the project process permits. Do not create a duplicate index solely for this answer.
Confirm the approved final drawing set identifies the handed-over areas/systems and revision. Rename, remove or duplicate this example before use. For an applicable item record its controlled reference and revision; leave irrelevant examples out.
Check the manuals cover the installed asset models and normal approved operating/maintenance information. Rename, remove or duplicate this example before use. For an applicable item record its controlled reference and revision; leave irrelevant examples out.
Check applicable warranty terms, start dates, provider contacts and the process for reporting faults. Rename, remove or duplicate this example before use. For an applicable item record its controlled reference and revision; leave irrelevant examples out.
Check the approved records identify the actual systems/tests and status; possession of a file does not establish certification. Rename, remove or duplicate this example before use. For an applicable item record its controlled reference and revision; leave irrelevant examples out.
Check installed asset identifiers and applicable maintenance responsibilities against the handed-over scope. Rename, remove or duplicate this example before use. For an applicable item record its controlled reference and revision; leave irrelevant examples out.
Use current labeled versions in an authorized location. Keep superseded records under the project retention process.
Open the actual indexed files and compare labels/revisions with the approved set. Record mismatches in the blocker field and add a separate corrective task for the affected item.
Have the named receiver open the actual approved links with their own account. Test every critical record and representative items from each remaining document class; capture the tested scope in the next answer.
Identify the receiver, date and tested document references, including the critical files and sampled classes. State observed failures; do not substitute “access checked” for a scope.
For each missing, wrong-version or inaccessible item, record its reference, accepted owner and agreed date. Use native task assignments/due dates for follow-up; leave blank only when the review found no blockers.
Only qualified staff give technical demonstrations. Use the approved secure process for keys and access.
For training required by the agreed scope, record trainer, date, systems demonstrated, receiving participants and outcome. Use the approved operating procedure; remove this step before use when training is not part of the handover.
Record any unanswered operating question with its accepted owner and agreed date. Add a separate corrective task for unclear critical instructions; leave blank only when no questions remain.
When required by this handover, verify actual keys, badges or approved application access and record its status. Capture the receiving custodian and transfer reference separately. Leave blank or remove the step when no access transfer applies.
Record who received the applicable keys, badges or application access. Leave blank only when no access transfer is required.
Reference the key register or secure-sharing/transfer record and the relevant systems. Use a non-secret-bearing reference; leave blank only when no access transfer is required.
Link the actual receipt with its scope, versions and explicit exceptions. Formal acceptance and contractual notices stay in their authorized process.
Enter when the receiving party acknowledged the identified handover items.
    Click to Assign task
Choose the internal coordinator and record the accepted open-action list in the task notes. Assign individual follow-ups and due dates; if none remain, record that instead of inventing an owner.

Before you begin

Use the project’s agreed handover requirements to build the document index. Identify the authorized receiver and the people supplying manuals, warranties, as-builts and other applicable records. Link current versions from an approved location; avoid scattered unlabeled attachments.

Exceptions and handoffs

Missing files, failed recipient access and unresolved punch items remain explicit exceptions. Give each an owner and agreed date. Keep acknowledgment of receipt separate from legal acceptance, completion certification, waiver or final-payment approval.

Worked example

Air-handling manual exists but the receiving facilities account cannot open it. Handover remains incomplete for that item; document owner fixes access and receiver verifies it before receipt.

Review and improve

Review required documents accepted/access-tested, handover blockers by owner, open exceptions completed on agreed dates. Use recurring failures and staff feedback to revise the approved process; record the reviewer and revision date.

Contract/project scope controls required documents and acceptance. Authorized personnel handle live equipment demonstrations and access transfer.

Who it's for

A contractor and receiving owner/team reconcile scope, documents, operating knowledge and open exceptions so the receiver can find and use what was transferred.

How to use

  1. Save a checklist for one handover package, or a reusable template. Form shows the information record; Play supports the handover meeting and List supports follow-up.
  2. Record the project boundary, scope revision and receiving contact. Keep any separate operating owner explicit.
  3. Tailor the starter document fields to the agreed deliverables. Record each applicable controlled reference and revision, and check the record against the agreed requirements. Link a separate document index if one is used; the deliverable fields can serve as the index where the project process permits.
  4. Check actual final files and have the receiver test access. Record which files were tested and assign any missing, wrong-version or inaccessible items.
  5. Record required demonstrations, the receiving access custodian and approved transfer reference where applicable.
  6. Record the exact package received, date/time and acknowledged exceptions. Follow the separate authorized process for contractual acceptance.

Related workflows

Record an adverse finding accurately, then create a separate open corrective task with an owner and due date. An answered observation is not approval to start, accept or release work.

Required answers capture the essential identity, decisions or observed results. Supporting references and exception notes can stay blank when no additional entry is useful. Complete applicable checks under the site/project process; optional fields do not waive its requirements.

Construction Job Handover Checklist Frequently Asked Questions

Which documents should the pack include?

The contract and project process determine the required set. Common categories include manuals, warranties, as-built information, relevant certificates and support contacts. Mark genuinely inapplicable categories with a reason.

How do we know the documents were handed over?

Have the receiver check the index and open files from each relevant document class using their own authorized access. Record receipt and any access failures.

What happens to open work?

Carry it into an exceptions list with the responsible party, target date and receiving-team awareness. Do not let a general handover signoff hide unfinished work.

Why is Form the default?

The main output is a handover record: scope, receiving people, deliverable references, tested access and receipt. Play is available for the meeting sequence and List for tracking open actions.
