Finished Batch Release Review Checklist

Introduction

This general manufacturing review helps a qualified reviewer decide whether the required evidence for a finished lot is complete. It keeps incomplete inspections, held material and packaging discrepancies visible through the downstream handoff.

Identify the lot, approved specification and current inspection plan. Confirm who is authorized to decide disposition. This template is not a pharmaceutical, medical-device or other regulated batch-release record; sector-specific systems and approvals remain separate.

If required evidence is missing or a result fails the approved criterion, record a hold and follow the nonconformance process. A high average inspection score does not override a failed requirement. Rework, concessions and partial releases require the appropriate documented authority.

Play supports the qualified evidence-review sequence, with Form available to inspect the complete record. Each optional sample-result group keeps inspection time, raw result, measurement unit and approved criterion distinct; the disposition has its own approval and exact-scope field.

This is general manufacturing review; regulated-sector batch release remains in its specific approved system.
Record the lot/batch, work order and product identity. Resolve mixed or split-lot ambiguity before reviewing release.
Use current approved revisions. Qualified site personnel supply required samples, methods and acceptance criteria.
Use the actual lot quantity. Keep different product or unit bases separate.
Use this same stated unit for the disposition quantities later in this review.
Link the controlled inspection register and identify any missing result or sample identity. Use the sample-result group below for permitted typed summaries when helpful; it does not replace raw quality records.
Optional summary of a result already held in the controlled inspection register. Leave this whole group blank or remove it when no duplicate summary is useful. If you enter a summary, include enough sample/characteristic identity, time, raw result, applicable unit, criterion and evidence to make it traceable. Manually duplicate for another result. Examples to tailor: a drawing-defined dimension, label-revision match or specified visual attribute. The approved plan defines tests and limits.
Optional summary: Use the actual sample selected under the approved plan.
Optional summary: Record the exact feature or test in the approved plan.
Optional summary: Enter the actual inspection date/time from the source record, including the site time zone in task notes where needed. Do not substitute the release-review time.
Optional summary: for a numerical test, record the raw measured value and enter its unit in the Measurement unit answer. Leave blank for an attribute test or when no duplicate summary is needed. Do not substitute a pass score.
Optional summary: record the observed attribute for a nonnumeric inspection. Leave blank for a numerical test or when the complete linked inspection register makes a duplicate summary unnecessary.
Optional summary: For a numerical result, enter the actual unit matching the controlled criterion. Leave blank for an attribute result; never replace the raw value with a pass score.
Optional summary: Record the exact approved criterion or its controlled reference and revision for this characteristic. Qualified staff determine whether the result satisfies it.
Optional summary: Record the method and relevant instrument-status reference. Only qualified personnel determine whether the evidence is valid.
Optional summary: A failed, missing or invalid required result remains unresolved through the quality process. A passing individual result does not release the lot.

Optional summary: Choose the qualified person who reviewed this actual result.
Optional summary: Retain the actual dated result, failure or retest reference. Do not erase the earlier failure when a retest is completed.
Keep nonconforming product identified and held through the approved process.
When packaging applies, compare actual packaging identity/revision and condition against the approved order. Record the source and discrepancy; if not applicable, document the basis in the inspection register.
Compare the actual product/lot identity and label revision with approved requirements and traceability records. Add the result/reference or a discrepancy here when useful; the controlled inspection register can hold the evidence without a duplicate entry.
Check lot identity and quantity basis against the controlled records. Add a discrepancy or source note here if useful; the final disposition reconciliation is recorded separately.
If a nonconformance or hold exists, record affected scope, physical hold location, restrictions and controlled disposition reference. Leave blank when none exists; only authorized personnel decide concession, rework or scrap.
    Click to Assign task
Choose the person permitted to make this product disposition under the site process.
Record the designated authority’s actual decision for this lot. The separate approval/scope answer must identify any partial release, concession or rework authority; this field does not release material.
Reference the actual authorized disposition record and identify precisely which lot units/quantity are released, held, assigned to rework, scrapped or under concession. For a partial release, distinguish the physical identities/locations.
Enter the actual authorization time, not the time the draft was started.
Use the quantity unit above. Apply the site’s mutually exclusive category definitions; the checklist performs no calculation or release.
Use the approved disposition record. Enter zero only when it is the verified actual value.
Use the controlled hold record and locations. Avoid double-counting quantities classified separately under the site process.
Enter this quantity only when an authorized rework category applies, using the stated unit and approved disposition. Otherwise leave blank. The final reconciliation must use the controlled record; a blank is not an assumed zero.
Enter this quantity only when authorized scrap applies, using the stated unit and approved disposition. Otherwise leave blank. This records an existing decision, not disposal authority; a blank is not an assumed zero.
Compare the lot quantity with the approved mutually exclusive category basis. Record the source and any difference; do not double-count held/rework material. Resolve a discrepancy through the quality process before representing material as released.
Record the receiving owner’s acknowledgment of exact released and held scope, locations and remaining restrictions. Investigate any reconciliation difference before release.

Before you begin

Identify the lot, approved specification and current inspection plan. Confirm who is authorized to decide disposition. This template is not a pharmaceutical, medical-device or other regulated batch-release record; sector-specific systems and approvals remain separate.

Exceptions and handoffs

If required evidence is missing or a result fails the approved criterion, record a hold and follow the nonconformance process. A high average inspection score does not override a failed requirement. Rework, concessions and partial releases require the appropriate documented authority.

Worked example

Lot B-92 has completed dimensional results but missing required label verification. Status remains held until the qualified reviewer receives the missing evidence and records disposition.

Review and improve

Review release reviews with complete evidence, lots held for missing records, rework and repeat nonconformance categories, dispatch handoffs with correct disposition. Use recurring failures and staff feedback to revise the approved process; record the reviewer and revision date.

Evidence review sheet

For each required inspection characteristic, identify the sample/unit, approved criterion reference, result and unit, inspection date and evidence record. The qualified reviewer confirms completeness and disposition. Reconcile total lot quantity with released, held, rework and scrap quantities under the approved record process. Do not replace an incomplete required characteristic with an aggregate pass percentage.

Lot-release review procedure

1. Identify the lot and its controlling order/specification/inspection plan. Match the physical lot identification to the order and controlled record. Clarify mixed or split lots before review. Identifiers, revisions and planned quantity match the actual lot. 2. Reconcile required inspections and sample identities. Use the plan to determine which results are required. Missing results remain visible rather than disappearing as unchecked optional work. Approved plan supplies sample sizes and test methods; each required result is present or explicitly unresolved. 3. Review measured results against stated acceptance criteria. Check the recorded units and specification revision as well as the result. Qualified staff decide whether the evidence satisfies the requirement. Actual values, units and criterion references support the reviewer’s decision; no generic pass-score threshold. 4. Check quantity, packaging, labels and traceability. Reconcile quantities and the exact label/packaging version. Separate known held quantities from those under review. Released, held, scrapped and rework quantities reconcile; packaging/label revision matches approved requirements. 5. Record nonconformance and authorized disposition. Link the nonconformance record and physical hold location. Only authorized personnel decide rework, scrap or concession. Affected material is identified and held through the site process; rework/concession decisions reference authorized records. 6. Record release or hold and verify the downstream handoff. Record who made the decision and tell the receiving/dispatch team the actual status. Verify held product is not described as released. Named authorized reviewer signs the disposition with date; dispatch sees the correct lot status and outstanding restrictions.

Qualified quality personnel own sampling, tolerances and disposition. No ISO/industry compliance guarantee. Evidence attachments may contain proprietary designs; access remains restricted.

Who it's for

A qualified reviewer confirms a finished lot’s required evidence and disposition, keeping held or nonconforming units from ordinary release.

How to use

  1. Save a checklist for one identified lot, or tailor a reusable template. Play guides the evidence review, Form reviews the full record and List supports follow-up.
  2. Link the complete controlled inspection register. If summarizing results here, manually duplicate the sample/characteristic group for each result and retain its inspection time, raw value or attribute, unit, criterion, reviewer and evidence.
  3. The sample-summary group is optional: leave it blank or remove it when every required result remains in the linked controlled register and is reviewed there. Complete traceable summaries only when useful. The visible dimension, label and visual-attribute examples illustrate possible records; the approved plan defines the actual tests.
  4. Check applicable packaging and lot labels separately. Keep missing or failed requirements visible; record the authorized disposition and exact released/held scope with its approval reference.
  5. Record the disposition quantities using the stated unit and mutually exclusive site categories. Verify the final reconciliation without double-counting held/rework stock.
  6. Have the receiving/dispatch owner acknowledge the actual status and restrictions. Assign open actions and dates.

This is a general manufacturing review. Sector-specific regulated release systems, sampling rules and qualified authorities remain controlling.

Record an adverse finding accurately, then create a separate open corrective task with an owner and due date. An answered observation is not approval to start, accept or release work.

Rework and scrap quantities are optional when those categories do not apply. The final reconciliation uses the actual controlled disposition record; blank optional quantities are not assumed zero.

Required answers identify this run and its essential decisions or results. Optional supporting references and exception notes may stay blank when no additional entry is needed. Perform every applicable site-required check and keep its authoritative evidence in the approved system; a field being optional does not waive the check.

Finished Batch Release Review Checklist Frequently Asked Questions

Does every unit need inspection?

Use the approved inspection plan. A generic checklist cannot determine a safe or statistically justified sample size for your product.

What should be recorded instead of “quality checked”?

Record the applicable requirement, sample or unit identity, actual result and evidence reference, then the authorized reviewer’s disposition.

Can part of a lot be released?

Only if your approved process permits it and a qualified authority makes that decision. Identify released and held quantities clearly so downstream staff cannot confuse them.

Why is Play still the default?

Lot disposition is a gated review: identify the lot, review the required evidence, resolve or control nonconformance, record the authorized decision and verify the downstream status. Form is available for reviewing the complete record without changing that authority.
