Course Enrollment Launch Checklist

5.0/5 with 1 votes

Introduction

Use this course launch checklist to coordinate an approved offering and verify the participant’s full joining journey. Record the course revision, owner, dates, capacity, price and terms, then test enrollment, confirmation and first course access before opening registration.

List gives staff a manageable set of launch actions, with each task’s data fields in Task Details. Switch to Play for guided tests and answer capture. The saved starter includes separate lesson, handbook, activity, validation, capacity and payment-test checks; adapt them to the real course.

Use authorized test access, fabricated data and approved test-payment mode. The course owner decides publication in the existing course platform after reviewing failures and retest evidence.

Record the exact course title/reference and revision being launched. Check it against the approved syllabus.
Record the owner who can approve this revision and decide on unresolved launch issues.
Compare the participant-facing start date and time with the approved offer, including the time zone. Record the approved start and note the time zone in Comments.
Compare the cutoff on the course page and enrollment route with the approved offer. Record the date/time and time zone, or state that enrollment is rolling if that is the approved policy.
Record the approved number of places, if there is a limit. Test capacity behavior separately before launch; do not invent scarcity.
Compare the approved total price and currency across the course page, enrollment route and checkout. Record the approved value, or No charge for an approved free course.
Open the approved enrollment, cancellation and refund terms where applicable. Check the participant route presents the intended version; record its permitted reference. Refer legal questions to the authorized owner.
Compare required preparation, equipment, support contact and first-access timing across the offer and confirmation. Record the approved requirements or a controlled reference.
Rename/remove/duplicate the labeled examples to fit the actual course.
Record the approved test-account reference, environment and test-payment method where needed. Use fabricated test data and never place an unapproved live order.
Rename with the actual first lesson. With permitted participant access, open it and confirm its content and release timing match the approved course. Duplicate for other lessons that need separate launch checks.
Rename with the actual introductory guide or handbook. Confirm participant access, correct revision and readable content. Remove if unused.
Rename with the worksheet, quiz or exercise the learner first needs. Perform the first permitted test action; remove if unused and duplicate for independently tested activities.
Follow the intended participant route with authorized fabricated test data. Record the test reference and expected/actual behavior in Comments. A submission result is separate from payment, confirmation and first access.
In the permitted test environment, leave a required registration field blank and confirm the route gives a useful correction without creating a misleading successful enrollment. Record the exact field and result in Comments.
Using the platform’s approved test method, check sold-out or waitlist behavior against the approved capacity policy. Do not reserve real places or alter live capacity just to test.
If paid enrollment is used, complete the approved successful test-payment path and verify its enrollment state. Record a non-sensitive test reference. Use Not applicable for free enrollment.
Use the platform’s supported failure scenario. Confirm the learner sees the expected next step and is not shown a misleading confirmed paid place. Do not use a real payment method.
Check the permitted test receives the correct course, start details, payment information where relevant and next steps. Record the test message or record reference in Comments.
From the confirmation, use the approved test participant account to reach the first required course resource. A successful enrollment message alone is not sufficient.
Assign each correction as separate work. After correction, repeat the affected journey and retain its original failure and retest evidence. Recording a failure completes a test record, not the correction.
Obtain the accountable owner’s decision for the identified course revision. Review material failures and document any accepted non-blocking issue before publication.
Record the actual approver, decision date/time and approval record reference. Do not substitute this checklist’s completion for approval.
After authorized publication in the course platform, open the actual public course and enrollment URLs. Compare the displayed offer and availability with the approved revision; do not make a live purchase just to test.
Record the ordinary published course URL and verification time. Do not include signed or secret-bearing links.
Record any live fault, accepted correction owner and next update time in the approved tracking system. Follow the course owner’s correction or rollback decision and reference that work here.

The workflow is a launch action list with evidence fields, not a phase Board. Each test has one result so, for example, a working enrollment form cannot hide a failed confirmation or inaccessible first lesson.

An answered test can still have an adverse result. The owner reviews the actual results and open corrections before approving publication. The checklist does not publish the course, create enrollment forms or process a payment.

Hold launch for material price, capacity, confirmation or access problems. Log a reproducible failure, assign an owner and keep the retest evidence. The course owner approves publication and owns the post-launch correction or rollback decision.

Who it's for

A course owner verifies an approved offering and a complete test enrollment journey before opening registration.

How to use

  1. Save a Checklist for one course revision or a reusable staff Template. List opens by default; use Task Details for its answer fields or switch to Play for guided execution.
  2. Assign owners and dates. Record the approved course facts and ordinary references; rename/remove/duplicate the labeled content examples for the actual course.
  3. Compare the offer across the course page and enrollment route. Test submission, validation, capacity behavior, confirmation and first access. Run payment success/failure checks only through an authorized test method.
  4. For each failure, preserve the expected/actual result and assign corrective work separately. Repeat the affected route after correction and retain retest evidence.
  5. Record the course owner’s explicit decision and approval reference. After authorized publication in the course platform, verify the live URLs and assign any post-launch correction.

Course Enrollment Launch Checklist Frequently Asked Questions

Do we need to test beyond the enrollment form?

Yes. Follow the intended route from the public page through confirmation to first access. A successful form submission can still leave the learner unable to join.

What if payment is part of enrollment?

Use an approved test mode or another explicitly permitted test method. Confirm displayed fees and terms; do not assume a live purchase will be refunded.

What belongs in launch approval?

Record the approved version, key test results, unresolved non-blocking issues and the responsible approver. Verify the live route after publication.

Why use List and Play for a course launch?

List lets staff assign the independent preparation and follow-up actions. Task Details holds each action’s answer fields. Play walks through the same offer checks and tests in sequence. The sections organize the work; they are not automatic workflow states.

Which findings should hold the launch?

Escalate material mismatches in price, dates, capacity, prerequisites, confirmation or first access. A recorded failed test does not resolve the defect: assign separate corrective work and retain retest evidence. The accountable owner decides whether a documented minor issue can remain open.

Does this checklist publish the course or create enrollment forms?

No. It coordinates staff checks on the existing course platform. Staff must use that platform’s authorized publishing, registration and payment processes. No public intake form, checkout or automatic scheduling is created here.
