Teaching and Training Session Checklist

Introduction

Prepare the session participants will actually experience. Record the session details once, open each approved resource, and test the joining route, sound, display and planned activity with participant-level access before the start.

The saved checklist includes separate starter examples for a slide deck, participant handout, activity worksheet, shared board and quiz. Rename, remove or duplicate them to match the actual lesson or training plan. Prepare a usable fallback and record the facilitator’s readiness decision.

Record the course/session reference or short title used in the approved invitation.
Check the actual participant-facing invitation and record its date and time. Resolve a time-zone mismatch before continuing.
Copy the time zone shown to participants and resolve conflicts with the invitation.
Record the staff role or authorized facilitator who has accepted delivery responsibility.
Record the room reference or platform name, such as the training room, Zoom or Microsoft Teams. Use an ordinary session reference rather than a secret-bearing join link.
Use the current approved booking or roster total for room and materials planning. Enter a nonnegative whole number; keep names in the roster system.
Record the agreed session duration in minutes for room, agenda and break planning.
Confirm the agenda, learning objectives and planned activities are the approved version for the audience. Reference that version in Comments.
Starter examples: rename, remove or duplicate before use. Keep permitted references rather than copies of participant records.
Replace with the actual presentation title. Open the file that will be delivered and check its revision against the approved plan. Record its permitted file/version reference. Remove this example if no deck is used.
Replace with the actual handout. Confirm its revision, readable layout and enough copies or intended distribution route. Remove if no handout is used.
Replace with the actual worksheet or exercise brief. Verify the instructions and facilitator answer guide agree with the approved activity. Remove if unused.
Ask the responsible support owner whether agreed arrangements are ready. Record readiness without private reasons or diagnoses.
Use permitted participant access to open the named handout or download route. Staff-only access is not a pass. Adapt/duplicate this check for every separately shared file.
Use permitted participant access to open the named worksheet or exercise resource, then perform its first required action. Remove if unused and duplicate for other separately shared resources.
Adapt these starter tests to the actual in-person, online or hybrid session.
If online or hybrid, follow the actual invitation route with permitted participant-level access. Confirm the participant reaches the intended session or approved waiting stage. Use Not applicable for in-person-only delivery.
If on site, verify that the invitation names the correct room and that the approved arrival instructions lead there. Use Not applicable for online-only delivery.
Use the microphone required by the actual room/platform and confirm a permitted test participant can hear speech. Do not record participants for this test.
Play approved test audio through the device required for the session. Check that the intended listener can hear it; use Not applicable when no playback is needed.
Open the real deck or resource on the room display or participant view. Confirm the intended content is readable and no unrelated content is shared.
Replace with the collaboration tool actually used, such as a shared whiteboard or document. With participant-level permissions, make an authorized test contribution and confirm it appears. Remove if unused.
If used, open the planned quiz/poll as a permitted test participant, submit fabricated test content and confirm the facilitator receives the expected result. Remove if unused.
Record the approved fallback and where to find it, such as a printable handout or alternate exercise. State which objective it still covers and any limits. Confirm the facilitator can use it.
Check that the approved attendance tool is available to the authorized staff. Do not collect attendance names in this template.
Test the approved feedback route and collect only information the session needs.
After each correction, repeat the affected participant-facing test and update its recorded result. Retain the original finding and retest time in Comments.
Resolve material blockers or agree an alternative with the organizer. Record decision-maker, time and any remaining owned action in Comments; brief affected participants through the approved route.
If not fully ready, record the accepted owner and next action or the organizer’s approved alternative. Communicate changed joining arrangements through the usual route.

Details

A single “test equipment” task cannot show that the microphone works while the display fails. The starter uses separate participant-facing tests and named material references so each result leads to a specific correction.

For example, a handout that opens for staff but not for a participant requires a permission or distribution correction and a fresh participant-access test. The facilitator can choose an approved fallback only if it still supports the intended learning objective.

A test should use the participant’s permissions where possible, not just the facilitator’s account. If a critical link, room or device fails, resolve it or agree a revised plan with the organizer. Make the fallback practical for the learning objective.

Who it's for

A facilitator confirms the people, materials and room or online route are ready so a teaching/training session can start with a workable backup.

How to use

  1. Save a Checklist for one session or a reusable staff Template. Enter the session, start time, time zone, facilitator, room/platform and useful planning counts.
  2. Rename/remove/duplicate the starter material and tool examples. Keep one task for each resource or test that needs its own result.
  3. Open Play to check approved versions and rehearse the participant route. Test microphone, playback and presentation display separately where used. List gives the whole preparation sequence.
  4. Prepare the fallback, attendance route and feedback route. Keep named participant records in their approved systems.
  5. Assign corrections and retest the affected route. Record the facilitator’s readiness decision and any approved alternative or unresolved blocker. Communicate a material change through the existing session process.

Teaching and Training Session Checklist Frequently Asked Questions

Does this replace a lesson plan?

No. It verifies delivery readiness. Use the lesson plan or syllabus for content, learning objectives and teaching design.

What should an online access test cover?

Check the joining route, participant permissions, sound and any sharing or activity tools actually needed. Open the materials as a participant to catch staff-only links.

What is a useful fallback?

Prepare an approved alternate way to meet the objective, such as accessible offline handouts or an activity that does not rely on the failed display. Tell the facilitator where it is.

What should be rechecked after a late change?

Recheck the affected delivery route. A new room may need a fresh equipment test; a replacement file needs a participant-access check; a different facilitator needs the approved plan and fallback. Confirm updated joining details reach the intended audience.

Should participant names or accommodation details be stored here?

No. Use counts and readiness status for this preparation record. Keep named attendance, contact details and private support information in the approved restricted systems; confirm arrangements with the responsible staff.

Does a completed checklist mean the session can proceed?

The facilitator still makes the readiness decision. A test can be recorded as failed or not tested, so review the answers and unresolved actions rather than relying on a completion percentage. Hold or revise the session if a material blocker remains.
