Email Campaign Launch Checklist

Introduction

Use this email campaign launch checklist to coordinate reviewers and prove that the actual campaign is ready. The saved checklist contains separate tests for eligible and suppressed recipients, duplicates, personalization fallbacks, mobile/desktop clients and images-blocked rendering.

List is the default for parallel preparation and assignments; Play guides the QA pass and captures results. Customize the starter test cases, record approval for the exact version, audience and timing, and keep the final release gate open until the conditions are met.

Record campaign/reference and version, goal, audience/segment reference, main recipient action and release owner. Name the approver, authorized sender and post-send monitor. Record planned timing in the scheduling check below.
Have the responsible owner verify the selected segment against the applicable permission rules and subscription choices. Record where eligibility evidence is held and any restrictions on the audience or message. Hold uncertain records out of the send while the owner resolves them; do not paste subscriber details here.
Use controlled records or safe platform references and the actual campaign recipient-selection rules. A delivered test does not prove suppression. Add notes with the safe case, expected/actual inclusion and evidence. Keep recipient details in the platform.
Use an approved controlled record that meets this campaign’s segment and permission requirements. Verify it is included in the recipient preview.
Use a controlled test record with the expected exclusion. Verify the actual selection rules exclude it; do not modify a real subscriber to create a test.
Check an approved duplicate test case and verify the expected deduplicated outcome for this platform and campaign.
Rename for an actual restriction, such as already-completed recipients or an excluded region, or remove when no additional exclusion applies. Verify it through the platform selection rules.
Review the subject, preheader, message, call to action, and landing page together. Confirm that the offer, availability, price if shown, deadlines, timezone, and important conditions agree. Check that offer and linked-asset expiry dates remain valid for the scheduled send and advertised redemption period. Remove placeholder content and flag claims or terms that still need owner approval.
Confirm the displayed sender, sending address, and reply-to address are approved and recognizable. Send a controlled reply to confirm the monitored inbox works. Obtain the email administrator’s confirmation that the sending domain and platform meet the relevant authentication and provider requirements; route configuration issues to that owner.
Use supported recipient preview or a separately approved seed-only campaign. Ordinary test sends may not populate real recipient-specific fields. Add the case reference and expected/actual text to each task’s notes, without private recipient details.
Verify the expected name or other approved merge values render correctly for a controlled seed case, with no unresolved tags.
Use a controlled case missing the relevant field. Confirm readable fallback content and that no other recipient’s details appear.
Rename or remove. Verify the correct subject, body, offer and destination for each actual content variant. Duplicate this test when variants require separate evidence.
Open every user-facing link, including buttons, text links, images, and the browser-view link where present. Verify tracking through a supported preview or separately approved seed-only campaign if ordinary test sends do not exercise it. Confirm the intended destination, working page, and agreed campaign tracking parameters. Test the conversion path only with authorized test data and approved non-purchasing methods; log broken links or mismatched offers.
Use a controlled subscribed seed account and a provider-supported test path to verify unsubscribe and resulting suppression. If ordinary test messages cannot exercise this, use a separately approved campaign restricted to controlled seed accounts. Confirm the approved sender details, preference links, and other required footer content. Have the owner check any provider-specific unsubscribe requirements; do not test by altering a real subscriber’s preferences.
Rename these starter client/device cases for the audience’s agreed matrix. Add actual device/client/version, expected result and evidence to each task’s notes. Use delivered controlled messages rather than only the editor preview.
Replace with an actual priority mobile client. Check readable text, subject/preheader, usable buttons, spacing and the destination path.
Replace with the selected client and duplicate for additional materially different clients. Check layout, text, links and the rendered subject/preheader.
Use the supported client mode. Verify meaningful alternative text and that the main information and action are understandable without images.
Keep one issue list with the failed case, fix owner, and next date. After changes, send fresh controlled tests and repeat the affected checks, including links or personalization that may have changed. Save evidence against the revised campaign version and keep separate unresolved corrective actions open.
Confirm the send date, timezone, platform scheduling behavior, and any audience frequency limits or overlapping campaigns. Name the post-send monitor, monitoring window, escalation contact, and the issues that require escalation. Confirm someone is available when the campaign goes out.
Give the reviewer the final delivered proof, segment and exclusion references, planned timing, test results, and any exceptions. Record the decision, reviewer, time, and exact campaign version. Do not treat a draft review, a checked box, or silence as release approval. Recording a decision completes this record; the final release-settings action stays unchecked unless the campaign is approved and all release conditions are met.
Immediately before release, confirm the approved version, recipient count, exclusions, current suppression state, send time and timezone, and any platform warnings. Check for changes since approval. Hold the release for review if the audience, content, or timing differs materially from what was approved. Leave this release gate unchecked while approval is missing, a blocker remains, or the final configuration is uncertain. The recorded QA answers alone do not authorize sending.
Have the authorized operator send or schedule the approved campaign in the email platform. Record the campaign or job reference, operator, actual or scheduled time, timezone, and platform status. If scheduling fails or the status is unclear, verify it in the platform before retrying so the audience does not receive a duplicate.
During the agreed window, review platform delivery status, failed deliveries, complaint and unsubscribe signals, replies, and the main destination. Record incidents and contact the responsible owner using the agreed escalation route. Do not assume a sent status proves that every recipient received the message or authorize an unreviewed resend.
At the agreed review time, record the campaign’s chosen outcome measures, date range, source, and any measurement limits. Compare results with the goal, summarize defects or useful lessons, and assign unresolved replies or technical issues. Link the final version and evidence so the next campaign can reuse the improved checks.

Check the audience that will actually receive the campaign

Start with the selected segment and its exclusions. Check representative eligible, ineligible, unsubscribed, and duplicate test cases in your approved system. Record safe references and expected inclusion or exclusion rather than copying subscriber details into the checklist.

Test the delivered message

Use a small test matrix that covers normal personalization, missing values, supported languages or variants, and the devices or email clients that matter to your audience. Follow the links from delivered tests, compare the landing-page offer, and test unsubscribe using a controlled seed address. Keep the expected result, actual result, and evidence for each case.

Keep approval tied to a version

Name the campaign version, segment definition, scheduled time and timezone, and approving person. Recheck the final audience and suppression state just before release. A material change to content, audience, or timing needs the appropriate review again.

Give the send an owner afterward

Choose the monitoring window and escalation criteria before launch. Record delivery problems, broken destinations, replies, and other agreed signals, then assign any follow-up and capture the campaign results.

Example: a test that catches a real release defect

Use a controlled recipient case with a missing first name and an expired promotional link. Record the expected fallback greeting and destination, then compare the actual result using the provider’s supported recipient preview or an authorized seed campaign. A generic test message may not exercise the live merge data or tracked destination.

Fix the fallback or link, repeat the affected cases and attach approval to the corrected campaign version. Before release, recheck the final audience and suppression rules so an earlier passing test is not mistaken for proof of the current selection.

This is a campaign quality-control checklist, not legal advice or a guarantee of consent compliance, deliverability, or campaign results. Have the responsible owner confirm the rules and provider requirements that apply to the audience and message. Keep subscriber information and credentials in approved systems.

Who it's for

Marketing coordinators, small-business owners, and campaign teams preparing a newsletter or promotional email in an existing email platform.

How to use

  1. Save one checklist per campaign version or a reusable template for your email workflow. Fill in the campaign, audience and responsible people, plus the planned send time and timezone.
  2. Customize the visible recipient, personalization and email-client examples. Remove irrelevant optional cases and duplicate tests for the actual variants that need independent results.
  3. Assign reviewers in List. Record answers in task details or use Play for the guided QA pass. In each test’s notes, capture the safe case reference, expected/actual detail and evidence.
  4. Test selection rules in the platform and use only approved controlled seed recipients. Confirm which features the supported preview or test method actually exercises.
  5. Create separate corrective actions for defects. A saved QA result completes the observation record; it does not resolve a failure. Retest and keep the release gate open until the recorded approval and final settings agree.
  6. Have the authorized operator release the approved campaign, record the job reference/status, and monitor the agreed window. Check an uncertain job state before retrying.

Email Campaign Launch Checklist Frequently Asked Questions

What should I check before sending an email campaign?

Confirm who is eligible to receive it, apply exclusions and unsubscribe suppression, test the message and destination links, verify personalization fallbacks, and obtain approval for the final version. Recheck the audience and send time immediately before release and name the person who will monitor the results.

How do I build a useful email test matrix?

Use a row for each meaningful case: an eligible test recipient, a suppressed test recipient, a duplicate, complete personalization, missing personalization, and the important device or client variants. Record the expected result, actual result, pass or fail, and an evidence reference. Confirm which checks the platform’s test mode actually exercises. Use supported recipient previews or a separately approved campaign restricted to controlled seed accounts when needed; test mode may omit personalization or tracking, as described in Mailchimp’s testing guidance↗. Check eligibility and suppression through the actual campaign selection rules. Use safe aliases and do not send tests to real subscribers without authorization.

Is an unsubscribe link enough to approve a campaign?

No. Check that the unsubscribe route works and that the resulting suppression is respected. The campaign owner must also review audience eligibility and the requirements of the sending and receiving providers. For Gmail, consult the current email sender guidelines↗, which distinguish general and bulk-sender requirements.

What if a test fails or the audience changes after approval?

Record the observed failure, create a separate corrective action and assign the fix; keep the release gate open. Repeat the relevant tests on the corrected version. Ask the appropriate reviewer to approve any material change to the message, audience, or timing before release.

Does this checklist send or schedule the campaign?

No. It records the checks and decisions. An authorized person uses the email platform to send or schedule the approved campaign and records the resulting campaign reference and status here.

Why is List the default when the checklist has answer fields?

Campaign preparation often happens across several reviewers at once. List makes ownership and outstanding work easy to manage. Open task details for answers, or use Play for the guided QA pass. Separate answer records capture evidence without turning every ordinary preparation action into a form question.

Can a failed test look completed?

A saved answer completes the observation record even if it says Needs follow-up or Not tested. Track its defect as a separate assigned action and keep the final release gate open. Release requires the authorized approval and verified conditions, not just a completed observation count.
