Monthly Bookkeeping Handoff Checklist

5.0/5 with 1 votes

Introduction

Use this monthly bookkeeping handoff checklist to gather the agreed records from independent sources and give the bookkeeper a clear, dated packet. Capture the reporting period, responsible people, source coverage, secure packet location, missing records, actual handoff and receipt.

List supports assigning and collecting records; Form brings the handoff fields together. The saved checklist includes editable bank, card and processor report examples. Replace them with your actual masked source labels, remove irrelevant items and add the rest of the agreed source list.

One record covers the specified business and reporting period. Complete the fields below without including private account contents.
Use the business/work reference and the authorized recipient’s work identity. State any division or activity excluded from this packet.
Enter the agreed beginning of the records period.
Enter the agreed end of the records period.
This is the packet handoff target, not a filing deadline.
Confirm the agreed list of bank and card accounts, payment processors, sales systems, expense sources, and other applicable records with the bookkeeper. Use account labels or masked identifiers and note new, closed, or inactive sources.
Create the period folder or packet in the approved secure location. Start an index organized by source and record type, and confirm the intended recipient and transfer method before adding private records.
Review the previous handoff for missing documents, open questions, or replacement files. Include newly available records with the original period and a clear correction label so they are not mistaken for new-period activity.
Rename these starter statement checks for the actual masked account/source labels. Duplicate for each agreed account and remove examples that do not apply. Each source needs the agreed date coverage and all pages; flag a statement period that differs from the handoff period.
Rename for the agreed masked account. Collect the complete statement and any agreed activity export needed to cover the handoff period. Record the actual coverage and secure file reference in the packet index.
Rename or remove. Collect the complete statement and flag its cycle dates when they differ from the handoff month. Do not interpret a missing statement as no activity.
Rename for each actual processor and duplicate the report checks where independent sources are required. Preserve the date range, filters and source references in the packet index.
Rename for the processor or remove if none is in scope. Collect the agreed transaction and payout/settlement exports, with dates and identifiers that let the bookkeeper connect them.
Use the source’s agreed report(s). Include relevant fees, refunds and disputes for the same coverage period; flag unavailable reports in the gap list.
Gather the period sales invoice register or export and the supporting invoices and credit notes requested by the bookkeeper. Include voided or corrected documents with their status visible, rather than silently removing them.
Gather the supplier bills, credit notes, and relevant statements requested for the period. Preserve the supplier document numbers and identify replacement versions; flag documents that have been requested but not received.
Gather the agreed expense claims and readable receipts, with the submitter and business-purpose information already recorded through the normal process. Flag missing support or unclear details for clarification instead of inventing them.
Collect applicable records such as approved payroll summaries, petty-cash records, or documents for separately agreed one-off transactions. Keep payroll and other sensitive material in restricted approved locations and link only to recipients who are authorized to see it.
For every export, record the source, dates, and any filters used. Check that all agreed accounts and sources are represented, including an explicit source-confirmed no-activity note where relevant; flag partial or unavailable exports.
Open the files and confirm that dates, document numbers, amounts, and all pages are legible. Replace broken, cut-off, password-inaccessible, or incomplete files through the approved route and keep any unresolved problem visible.
Compare the collected records with the source list and agreed transaction exports to spot missing receipts, invoices, credits, or settlement reports. Note the relevant transaction or document reference for each gap; this completeness check is not an accounting reconciliation.
Check repeated filenames, document numbers, and prior-period carryovers for duplicate or replacement records. Label the version to use and explain the relationship in the index; preserve originals under the existing retention process.
Record each missing source/document, the fact needed, owner and expected date, or reference the controlled gap list. Enter “None identified” only after checking. Add separate assigned follow-up tasks for outstanding records; a filled gap field does not resolve them.
Add short factual notes for items the bookkeeper may not recognize, such as a changed supplier name, a duplicate charge, or a refund linked to an earlier purchase. State what is known, link supporting evidence, and leave uncertain treatment to the bookkeeper.
Link the final files by source and record type. Summarize missing items, coverage gaps, corrections, and unanswered questions with owners and dates; distinguish records supplied from records still outstanding.
Check the final links, file permissions, and any required secure-transfer steps for the named authorized recipient. Confirm access through the approved process without putting passwords, full account identifiers, or sensitive record contents in task notes.
Use the agreed secure method to send the packet and exception summary to the authorized bookkeeper. Record the date, recipient, packet location, and version or snapshot so later additions can be distinguished from the original handoff.
Record who acknowledged access, when, and which packet version they received. Record immediate questions or reference the follow-up list. Receipt does not mean the books are complete.
Add a separate task for each missing document/question with its owner and next date. Leave this closure action open until the agreed packet scope is supplied or the bookkeeper explicitly accepts the documented exclusions and owned follow-up. Label later additions with their original period and supplement date.

Start with a clear source list

Confirm the period and the accounts, processors, and business systems the bookkeeper expects. A source list makes a missing account or partial export easier to spot than a folder of miscellaneous files.

Make records easy to follow

Keep complete statements, invoices, credits, receipts, and agreed exports organized by source. Preserve document references and report date ranges, and label corrections or replacement files clearly. Include other records only where they are part of the agreed handoff.

Make gaps visible before sending

Check that files open, pages are readable, and the agreed period is covered. Use a single gap list with a responsible person and next date for each missing record. Add verified context for unfamiliar activity without guessing at accounting treatment.

Keep a traceable handoff

Finish with an index, an exception summary, a record of the version sent, and confirmation that the recipient can access it. Track later additions separately so the bookkeeper knows what changed.

Example: a monthly source-coverage record

This is a sanitized illustrative example. A September packet lists a business checking account, one business card and a payment processor. The bank statement covers the agreed period, the card statement crosses the month boundary, and the processor export records its date range and filters. The packet index makes each coverage difference explicit so the bookkeeper knows what was supplied.

A receipt for a named transaction reference is still missing. Record the source label, missing document, responsible person and expected response date without guessing what the expense should be coded to. When it arrives, add a dated supplement and tell the authorized bookkeeper what changed.

A handoff is ready when the recipient can open the stated packet and distinguish supplied records from outstanding questions. That evidence does not show that reconciliation or the monthly books are complete.

This checklist organizes records for handoff. It is not accounting, tax, legal, or financial advice and does not complete reconciliation, bookkeeping, reporting, or filing obligations. Agree the required records with your bookkeeper and follow your organization’s access, retention, and secure-transfer policies.

Who it's for

Business owners, office managers, operations coordinators, and bookkeeping support teams preparing monthly source records for an internal or external bookkeeper.

How to use

  1. Save one checklist per business/period or a reusable monthly template. Complete the period dates, packet owner, authorized bookkeeper, handoff target and agreed source list.
  2. Rename the visible bank/card/processor starter checks, remove irrelevant examples and duplicate checks for each additional source. Assign collection work using the normal task controls.
  3. Gather records in the approved secure location. Record date coverage, export filters, complete document references and any cross-period statements in the packet index.
  4. Check completeness, readability, duplicates and superseded versions. Fill the missing-records field and create separate owned actions for each gap or unanswered question.
  5. Use Form, or List task details, to record the final index, actual handoff date, recipient and packet version. Verify recipient access through the agreed process.
  6. Record receipt separately from remaining questions. Keep the final closure action open until the agreed packet scope or documented exceptions are accepted; receipt alone does not mean the books are complete.

Illustrative example: A September packet contains a bank statement for the agreed period, a card statement crossing the month boundary, and a processor export with recorded dates and filters. Make those coverage differences explicit in the index. Give a missing receipt an owner and expected date without guessing its accounting treatment. When it arrives, add a dated supplement and tell the authorized bookkeeper what changed. Record packet receipt separately from completion of the books.

Monthly Bookkeeping Handoff Frequently Asked Questions

What documents should I send my bookkeeper each month?

Confirm the required records with your bookkeeper. Depending on the business, the handoff may include bank and card statements, sales invoices and credit notes, supplier bills, expense receipts, and payment processor reports. Include approved payroll summaries, loan or lease records, and other documents only where agreed. Identify missing records and provide factual notes for unusual activity.

Does this checklist complete the monthly books?

No. It prepares and transfers source records. The bookkeeper remains responsible for the accounting work within their agreed scope; acknowledging receipt does not confirm that the books are complete.

What if a statement or receipt is still missing?

Show the gap in the exception list with a reference, responsible person, and expected response date. Agree how the bookkeeper wants the partial packet and later additions delivered rather than marking the missing record as supplied.

Do we need every record type listed?

Only include sources and records that apply to the business and the agreed handoff. Record why a conditional step does not apply, and add any source your bookkeeper specifically expects.

Should financial documents be pasted into task notes?

Use your approved secure document location and give access only to authorized recipients. The checklist can hold source labels, links, and short follow-up notes; keep credentials and sensitive document contents out of it.

Why are both List and Form available?

Source collection is independent work, so List is the default for assignments and progress. Form is useful when completing or reviewing the packet’s actual period, people, location, gaps, handoff and receipt fields. It is the same saved handoff record; the task answers are not a public intake form.

How do I use the source examples?

Rename them to your actual masked bank, card and processor labels, remove irrelevant examples and duplicate the checks for additional sources. Confirm the complete source list with the bookkeeper. Each source must have its actual date coverage and secure file reference in the packet index.
